Assets in the mobile app

View, add, and update the assets linked to a job or property from the mobile app, so your records stay accurate.

Assets are pieces of equipment or appliances linked to a property or job, such as boilers, air conditioning units, and fire alarms. Keeping their records up to date supports accurate servicing, repairs, and future maintenance.


View assets

Assets can be linked to the job you're working on, or logged against the property more generally, and you can view both in the mobile app.

Find an asset

If the property has a lot of assets, use the search bar to find a specific one. You can search by name, model, or serial number. You can also scan a barcode or QR code to locate the exact asset quickly.

View and update an asset

Tap an asset to see its full details, including the type, model, serial number, location on site, and any notes. If you have the right permissions, you can update the details from here.


Add an asset

You can add an asset from a few places: the Assets on the job section (tap Add asset), the property Assets list (tap +), or a form that's set up for assets (tap +).

However you get there, the same Add asset screen opens. When you add an asset from a form, you can also pick one of the property's existing assets instead of creating a new one.

  1. Fill in the asset details, such as the Make, Model, Location, and Serial number, along with any other fields shown.

  2. For Make, Model, and Location, tap to choose from the list, or tap Add new to create one that isn't there yet.

  3. Answer any additional questions that appear. Your system administrator configures these, and which ones show depend on the asset's details, such as its group, type, make, or model.

  4. Tap Save.

A new asset is saved against the property and linked to the job — and to the form too, if you added it from one.

Add a sub-asset

Some assets can have sub-assets — components linked to a parent asset. For example, a burner might have a nozzle or a cylinder recorded against it. Which assets can have sub-assets, the sub-asset types available, and any conditions that affect them are set up in your web settings by an administrator.

Add the parent asset first, then:

  1. On the Assets screen, tap +, then Add sub-asset.

  2. On the Select parent asset screen, choose the asset you want to add the sub-asset to. Assets that aren't set up for sub-assets show a warning and can't be selected.

  3. Choose the sub-asset type from the ones set up for that parent.

  4. Fill in the fields, then tap Save.

  5. The parent asset shows a count of the sub-assets added to it.

Notes

  • Sub-assets can be nested — a sub-asset can have its own sub-assets. Some sub-asset types only appear once a related answer is given, such as a particular number of cylinders. These rules are set up in your web settings.

  • Only assets that have sub-asset types set up are selectable. An asset marked with a warning icon hasn't had any sub-assets set up, so you can't add one to it — that setup is done in your web settings.


Scan a label with AI:den

Note: AI:den is in closed beta and available to a limited number of clients, so it may not appear for you yet.

If your company uses AI:den, you can read an appliance's data label with your camera instead of typing the details in. AI:den needs an internet connection to read the label.

  1. On the Add asset screen, tap Scan labels with AI:den.

  2. Point your camera at the appliance's data label and capture it. AI:den processes the image and reads the details.

  3. AI:den fills in the Make, Model, and Serial number it found and highlights them with a sparkle icon (✨).

  4. Confirm each suggested value before you save. Confirm the Make first, as the Model depends on it, then the Model. If a value is new to your list, tap Confirm & add to add it.

  5. Fill in any remaining fields manually, then tap Save.

    • You won't be able to save the asset until the scanned values are confirmed.

Important: AI:den needs an internet connection to read the label. If you're offline, add the asset's details manually instead.


Common questions

The job has no assets — where else can I look?

Tap the menu > Assets to see any assets logged against the property in the past, even when none are linked to the job itself.

Can I edit an asset's details?

Yes, if you have the right permissions. Tap the asset to open it, then update the details.

How do I get AI:den?

Scanning labels with AI:den is currently in closed beta with a limited number of clients, so it isn't available to everyone yet. It will be rolled out more widely at a later date.
