Welcome to Commusoft! This guide provides an overview of what to expect when you begin using your account and how to get started with essential setup and training.


Step 1

Logging in for the first time

Upon account creation, you will receive a welcome email containing:

The password creation link is valid for 24 hours. After the link expires, you will need to reset your password.

Setup wizard

Once logged in, complete the setup wizard to configure your account.

While you can start using your account right away after completing the setup wizard, it's recommended to set up the basics before proceeding.


Step 2

Preparing for setup

  1. System spec: Ensure your devices meet the minimum specification to use Commusoft effectively.

  2. Log in via a browser at https://app.commusoft.co.uk.

    • You can find out more about the supported browsers in the usage tips article.

  3. Mobile app: Search for Commusoft in the Apple App Store on iOS or Google Play Store on Android.

  4. Preparing for integrations: Before integrating with other software, let us know your preferences so we can assist. You can review the integrations available on our website.


Step 3

Setting up your users

  • Add users: Each user requires a license. Review your licenses and assign roles with specific levels of access.

    • Remember, you control your users so you do not have to add them all straight away.

Step 4

Recommended settings

➡️ Navigate to your Profile icon > Settings

  1. Letterhead: Use our simple and smart letterhead or upload your own company letterhead and footer. These will appear on the top/bottom of all letters you produce within Commusoft.

  2. Diary/Schedule settings: Configure these options to allow you to observe and change the way in which your schedule operates.

  3. Email setup:

  4. Branding: Adjust branding colours for PDF documents (e.g., invoices, estimates).

  5. Customer types: Configure customer types to organise your customers effectively.

  6. Creditor days: Set up creditor days to manage payment terms with customers and suppliers.

  7. Advertising sources: Track where your customers come from to measure marketing effectiveness.

Step 6

Test customer/work address

  • Add your first customer: Add a test customer and a test work address to serve as your test account. Enter accurate details about yourself to act as a customer within Commusoft. Use this account to practice, learn, and check your settings without changing any real customer data.

Web users

This is a basic outline of usage for a web user.

  1. Add a job to the test customer:

  3. Add an estimate to the test customer

    • Search the test customer address

    • Book an appointment for the estimate or proceed without an appointment

    • Action the appointment using the mobile app or action the estimate when not using the mobile app

    • Accept or reject the estimate

Mobile app users

This is a basic outline of usage for a mobile app user.

  1. Appointments:

    • Accept / Reject: Review and respond to all appointments either at the start of the day or the night before.

    • View notes & access method: Review notes and access details for all appointments at the start of the day or the night before.

  2. Job actions:

    • Travel / Abort: Follow the Key in the Ignition rule for starting a journey or abort if unable to proceed.

    • Arrive / No access: Use the Foot in the Door rule to mark arrival or take a photo and leave informative feedback if no access is granted.

  3. Appliances and references:

    • Appliance: Check, add, or update appliance details.

    • Technical references: Check or update relevant technical references.

  4. History and attachments:

    • Job diary history: View the history of actions performed on the job.

    • Property history: Access historical records associated with the property.

    • Attach files: Upload or view files related to the job.

    • Take photo: Add or view photos taken during the job.

  5. Certificates and office tasks:

    • Complete certificate: Fill out or clone certificates as required.

    • Office task: Assign tasks to web users when a more visible notification is needed (e.g., for input errors or missing details).

  6. Job feedback:

    • Job report: Complete a detailed and informative report, which can be updated throughout the job.

  7. Finishing the job:

    • Leave: Once the work is completed/handing over to the customer.

    • Mark as Complete:

      • YES: If you need to invoice.

      • NO: If further attendance is required.
