This article explains key areas and terminology used across the Commusoft platform. Each section includes a brief description and a visual to help users understand how and where each term is used.
Navbar
The Navbar is the primary navigation bar that spans the top of the Commusoft interface. It houses quick links to the core areas of the system. The Customer Dashboard, Opportunity Dashboard, Jobs Dashboard, Suppliers Dashboard, Fleet Dashboard and Reporting Dashboard are all accessed from the Navbar. It’s always visible on desktop, offering consistent access across all screens.
Global Search
The Global Search bar is a powerful tool located next to the Navbar at the top of every screen. It allows users to search for a wide range of records—such as customers, jobs, invoices, assets, and more—without needing to navigate to a specific module first. It streamlines workflows by bringing relevant data to your fingertips instantly.
Profile Icon
Found in the top-right corner of the screen, the Profile Icon is your access point to account-specific settings. Clicking it opens a dropdown menu with access to profile settings, password changes, support and academy links, integrations, billing, and the logout option. It also displays your user information including name, employment type, and Client ID.
Customer Record
Each Customer Record acts as a central hub for all data related to a specific customer. It includes contact details, job history, property addresses, invoice records, communication logs, and more. It provides a full 360° view of the customer’s interactions with your company. You can access a Customer Record via the Customer Dashboard or the Global Search.
Opportunity Record
The Opportunity Record is used during the early stages of customer engagement. It helps users track potential work before it becomes a confirmed job. Within the record, you can add notes, build and send quotes, and log communications—making it easier to nurture leads and win more work. You can access an Opportunity Record through a Customer Record or from the Opportunity Dashboard.
Contract Record
A Contract Record stores information related to ongoing service agreements with customers. It outlines the scope of the contract, service intervals, included job types, and any linked service visits. This helps businesses manage recurring work and ensure contractual obligations are fulfilled on time. You can access a Contract Record through the Customer Record.
Fleet Dashboard
The Fleet Dashboard is a live overview of all company vehicles. It displays each vehicle’s current location, recent activity, and any alerts such as speeding or maintenance needs. This dashboard can be accessed from the Navbar and helps fleet managers monitor field teams in real-time and respond quickly to any issues.
Job Dashboard
The Job Dashboard centralizes the view of all current and past jobs. It includes filters and sorting options by status, priority, and assigned user. This dashboard is accessible via the Navbar and makes it easier to manage the workflow, assign engineers, and monitor job progress across the business.
Reporting Dashboard
The Reporting Dashboard is the analytics center of Commusoft. It features visual widgets, graphs, and key metrics to help users track performance indicators such as revenue, engineer productivity, outstanding work, and more. This dashboard is accessible from the Navbar and is essential for strategic decision-making and performance reviews.
Accounting Dashboard
This dashboard provides a financial snapshot of your business operations. It includes overviews of outstanding invoices, paid amounts, credit notes, and the sync status with your external accounting software (like Xero, QuickBooks, or Sage). Accessible from the Navbar, it ensures you maintain a clear picture of your cash flow. You can access the Accounting Dashboard by selecting 'Integrations' from the Profile Icon menu.
Ai:den
Ai:den is Commusoft’s integrated AI assistant. It supports users by providing instant answers to platform-related questions, guiding them through complex tasks, and offering tips directly within the system. You can access Ai:den by clicking 'Get Support' from the Profile Icon menu.
Web App
The Web App refers to Commusoft’s desktop-friendly version accessed through a web browser. It offers full system functionality and is optimized for managing your operations from an office environment. Unlike the mobile app, it is intended for use on larger screens. You can access the Web App by visiting app.commusoft.co.uk or app.commusoft.us in your web browser.
Job
A Job in Commusoft is the foundational unit of work. It includes all the information related to a specific service task, such as appointment details, assigned engineers, job notes, parts used, charges, photos, and customer signatures. Jobs are typically created once a quote is accepted or a service request is received. You can access a Job via the Job Dashboard, the Customer Record, or the Diary/Schedule.
Diary / Schedule
The Diary or Schedule is Commusoft’s calendar tool, showing a visual layout of daily, weekly, or monthly appointments. It helps coordinators manage field engineers’ time, view availability, and schedule new visits efficiently. Different users and regions can have customized diary views. You can access the Diary or Schedule from the Navbar.
Diary Event / Appointment
A Diary Event, or Appointment, is an individual entry in the diary. It represents a specific visit by an engineer to a customer location. Each appointment includes the scheduled time, job address, duration, and the user assigned to attend. It’s a crucial part of managing field service operations. You can access a Diary Event from either the Diary/Schedule or directly from a Job.
