The Reserve list tab shows every reservation against this part that has not yet been used. It covers parts allocated to specific jobs and parts held back for replenishment, so you can see exactly why stock is unavailable and release it when it is no longer needed.
View record
The Reserve list is one of the four tabs on a part record.
➡️ Click the Global search bar > enter the Part name, the Manufacturer part number, or a Stock location > select the individual part > click View > Reserve list
Tip: For the other tabs and an overview of the whole screen, read Understand the part record.
View reservations against a part
The list shows the Stock location, the Quantity, the Date reserved, the reservation type under Action, and the job details, including the Job number and Customer name.
There are two kinds of reservation:
Job reservations: Parts allocated to a specific upcoming job. The job number and customer are shown.
Replenishment reservations: Parts held back to keep a location at its minimum stock level for the parts reorder list. These show Reserved for replenishment under Action, with the destination location under Reserved For and no job details.
Note: A part delivered in more than one batch shows one row per batch. Release each row separately.
Click the pencil icon to add, remove, or reorder the columns to suit your needs.
View a single reservation
Click the plus (+) icon at the end of the row.
Click View to open the View part reservation side panel.
The panel summarises the reservation, including the location details and the reservation details.
Unreserve stock
Unreserving releases reserved stock back into your available inventory. It works the same way for job reservations and replenishment reservations.
Click the plus (+) icon at the end of the row.
Click Unreserve to open the Unreserve stock side panel.
Enter the amount you want to release in the Quantity field.
Check Remaining quantity, which shows what will stay reserved after this action.
Click Save and unreserve stock.
The stock updates straight away and the released units return to your Balance available.
Note: If you see "Transaction quantity exceeds the actual quantity", the amount entered is higher than the amount reserved. Check Remaining quantity and enter an amount equal to or less than the reserved quantity.
Important: Unreserving a job reservation means that job no longer has parts allocated. If you need to buy new parts for the allocation, the price may differ and your estimate or job costing will change.
Release parts held against an engineer who has left
Parts stay reserved when an engineer is deleted, so they keep reducing your balance available. Releasing a replenishment reservation also clears the part from that engineer's picklist.
Use the Unreserve steps above to release the stock yourself. You do not need to contact support.
Common questions
Where do I find the Reserve list tab?
The Reserve list tab is on the part record. Search for the part in the Global search bar, select it, click View, then open the Reserve list tab.
Can I unreserve parts that are reserved for replenishment?
Yes, you can unreserve replenishment parts yourself. Open the part record, go to the Reserve list tab, click the plus (+) icon on the reservation, and click Unreserve. Enter the quantity and click Save and unreserve stock. The parts return to your balance available.
What happens to parts reserved for an engineer who has left or been deleted?
Parts stay reserved when an engineer is deleted, so they still reduce your balance available. Release them yourself from the Reserve list tab using the Unreserve action. This also clears the parts from that engineer's picklist.
Why does the same part appear more than once in the reserve list?
A part appears more than once when it arrived in more than one delivery batch. Each batch is tracked as its own reservation, so release each row separately.
