Customize your letterhead settings

Control how your branding appears on PDF documents by setting your letterhead, footer, page margins, and padding.

User role required: Financial office staff and above

Letterhead settings control how your branding appears at the top and bottom of the PDF documents Commusoft generates for your customers. You can upload a full letterhead and footer image, build a letterhead from a logo or text, and control the margins and padding around the page.

Note: These settings don't apply to custom forms or proposals. Those features use their own document templates.


How to access Letterhead settings

➡️ Click your Profile icon > Settings > Branding > Letterhead settings > View

The Create letterheads screen opens. Your settings are grouped into five sections on the left, and a live preview of your document appears on the right, so you can see the effect of every change before you save.

The five sections are Letterhead, Footer, Printer margins, Body padding, and Other options. Click a section heading to expand it. Click Save when you've finished making changes.


Choose your letterhead

Your letterhead is the branding that appears at the top of the page. You have three options, and you can only use one at a time.

  1. Click Letterhead to expand the section.

  2. Select the option you want.

I have a full letterhead image (2124 x 376)

Use this if you already have a designed header image. Upload it in the Full image field.

Your image needs to be 2124 x 376 pixels or it will be stretched to fit. Learn more in the Add a full image letterhead or footer article.

I want to create a letterhead with a logo

Use this to place your logo on the left with your company details alongside it. Upload your logo in the Left hand side logo field.

Note: The maximum width for a logo is 340px (90mm). The height adjusts automatically.

I want to create a letterhead with text only

Use this for a plain text header with no imagery. Enter what you want to appear in the Text to display in letterhead field.


Choose your footer

Your footer is the branding that appears at the bottom of the page. You have two options.

  1. Click Footer to expand the section.

  2. Select the option you want.

I have a full footer image (2124 x 376)

Use this if you already have a designed footer image. Upload it in the Full image field. The size requirement is the same as the letterhead.

I want to create a footer with text and images

Use this to display up to three smaller images in your footer, such as trade body or accreditation logos. Upload them in the Footer image 1, Footer image 2, and Footer image 3 fields.

Tip: You only need to select one option, so you will not need all files detailed. Only upload the file for the desired option.


Set your printer margins

Printer margins control the white space around the edge of the page.

  1. Click Printer margins to expand the section.

  2. Choose a value for Top, Bottom, Left, Right, and Address Margin.

Each field offers 0 Centimeters, 0.5 Centimeters, or 1 Centimeter.

Note: Your margin settings don't change the image size your letterhead and footer need. A full image is 2124 x 376 pixels whichever margins you choose.


Set your body padding

Body padding controls the space between your document's content and the edge of the page. It stops text sitting too close to the edge.

  1. Click Body padding to expand the section.

  2. Choose a value for Top, Bottom, Left, and Right.


Printing on branded paper

If you print onto paper that already carries your branding, Commusoft can leave that space blank rather than printing over it.

  1. Click Other options to expand the section.

  2. Tick I print on branded paper that has a header, I print on branded paper that has a footer, or both.

  3. Enter a measurement in Height of header on your branded paper (cm), Height of footer on your branded paper (cm), or both.

  4. Click Save.

The height field appears once you tick the matching checkbox. Measure the branded area on your paper and enter that figure, so Commusoft leaves exactly the right amount of space.

Important: These settings apply to printing only. Your letterhead and footer still appear on documents you send by email.

Common questions

Can I use a full letterhead image and a text footer at the same time?

Yes, you can mix the two. The Letterhead and Footer sections are set independently, so you could use a full image at the top and three smaller images at the bottom, or any other combination.

Why doesn't my new company address appear on my documents?

Your new address won't appear if your letterhead or footer is a full image that still shows the old one. Commusoft can't edit text inside an uploaded image. Update the image and re-upload it, or switch to a logo or text option so Commusoft pulls the address from your Company details.

Can I set a different letterhead for different customers or job types?

No, you can't set a different letterhead per customer or job type. Your letterhead and footer are set once and applied to every PDF document Commusoft generates.
