How to create a new job pipeline
The system guides you through a setup wizard to set up your pipeline, stages, and job descriptions.
➡️ Click Add new pipeline
Basic details: Enter a name in the Pipeline name field to identify the workflow (e.g., "Boiler Installation" or "General Service") and click Next.
Pipeline stages: Define the specific steps a job must pass through.
Click Add new stage and enter a Stage name (e.g., "Parts Ordered").
Select a Colour to visually identify this stage in diaries and schedules.
Tick Enable this rule to automatically complete the job when it reaches this stage only if this stage signifies the job is finished.
This setting applies to both web and mobile users. Once triggered, the job is marked complete and any automatic invoicing rules will fire. Use clear naming and training for implementing job stages so both mobile and web users understand that selecting this stage finalises the job.
Click Save and repeat for all required stages. You must have at least two stages.
Job descriptions: Optionally link this pipeline to specific job descriptions. When a user selects that description for a new job, this pipeline will apply automatically.
Click Save:You will be prompted to activate the pipeline immediately or save it for later.
To activate the template, type 'Activate' in the box and click the Activate button.
To return to the template later, leave the box empty and click Save as draft.
Job pipelines can also be assigned directly in a Job description template.
If you configured a stage to automatically complete the job, this rule applies to both web and mobile users. Once triggered, the job is marked complete and any automatic invoicing rules will trigger.
Use clear naming andimplementation training so that mobile and web users understand that selecting this stage finalises the job.
How to edit a job pipeline
You can modify an existing active or draft pipeline at any time, including adding new stages or changing linked job descriptions.
Click Edit in the Actions column next to the pipeline you want to change.
Navigate through the wizard steps to make your updates.
Click Save on the final step to apply your changes.
If the template is in draft status, either activate it or save as a draft for further edits later.
How to delete a job pipeline
The options for removing a job pipeline depend on whether it has been used on any jobs.
➡️ Under the Actions column for the desired pipeline, click Delete.
Delete the pipeline: The pipeline has not yet been used on any jobs and can be fully deleted from the system.
In the confirmation box, type 'delete'.
Click the Delete button to permanently remove the pipeline.
Archive the pipeline: If a pipeline has been used on any jobs, it cannot be permanently deleted. Instead, it must be archived to maintain data integrity.
In the confirmation box, type 'archive'.
Click the Archive button.
Once archived, the pipeline will no longer be visible in your active list.
Deleting or archiving a pipeline is an irreversible action.
