Vehicle checks allow you to define a vehicle check for users to complete in the mobile app and specify failure criteria.

Use vehicle checks to ensure a unified process for identifying vehicle issues and notifications when failures occur.


View Vehicle Checks

➡️ Navigate to your profile icon > Settings > Fleet management > Vehicle checks > View


Add a New Vehicle Check

Creating a vehicle check is a guided, step-by-step process shown on the left side of your screen.

  • A progress bar tracks your completion.

  • Once a step is complete, click Next to save and proceed or Back to review previous steps.

  • Skipping steps is not allowed; follow the process in order.

Step 1: Basic Details

  • Form name: Enter a name for the form.

  • Description: Describe the form.

Step 2: Mobile Form Design

Using the form builder, create your mobile form for users to complete when a vehicle check is due using pages, sections and input types.

Step 3: Failure Criteria

Failure criteria are linked to specific fields and answers entered when the form is being filled in.

  1. Name of failure: Provide a name for the criteria (eg., Headlight failure).

  2. Add condition: Set which field this failure should be linked to.

    • Select a condition from the dropdown. The available conditions depend on the input type used for the selected field.

    • If the selected field has options, set which one should trigger the failure.

      • Add/delete failure criteria if required.

When multiple conditions are added to a single vehicle check failure, all conditions must be met for it to trigger. To set up separate failures, use the Add new failure criteria button to create a new failure.

Step 4: Notifications

  1. Email notification: Set up email alerts to notify the appropriate recipients when engineers do not meet departure rules.

    • Who should receive notifications:

      • Users: Send the notification to the chosen user names only.

      • Roles: Send the notification to all users on the chosen roles.

      • Everyone: All users receive the notification.

      • None: Disable this notification type.

    • Email template: Select an appropriate email template to use for this notification.

      • Add new template: Create a new template to use if you have not done so already.

  2. Notification: Enable global notifications for in-system alerts.

    • Who should receive notifications:

      • Users: Send the notification to the chosen user names only.

      • Roles: Send the notification to all users on the chosen roles.

      • None: No one receives the notification.

Once a vehicle check has been confgured, a vehicle check template needs to be set up for the check to be assigned to vehicles.


Managing vehicle checks

Edit a check

➡️ Edit > Modify the vehicle check following the steps outlined above > Go to final step > Click Next to save the changes and exit

Clone a vehicle check

➡️ Clone > Type Clone > Clone

Once the vehicle check has been cloned, edit to make your required changes.

Delete a vehicle check

➡️ Delete > Type Delete > Delete

If the vehicle check is in use, it cannot be deleted. Instead, consider archiving it for historical purposes.
