Optimise your inventory management with automated stock triggers that generate and send purchase orders (POs) when stock drops below a set level. With Part Reorder Lists, you ensure your team always has the parts they need without overstocking, delays, or manual intervention. You can even tailor templates for different stock locations and engineer types.
POs from reorder templates are automatically raised daily at 2PM and sent directly to suppliers. You will receive a notification when this happens.
View setting
➡️ Profile icon > Settings > Parts and stock > Part reorder list> View
Add a new Part reorder list
In the "Add part reorder list" section, type your template name.
Click "Add part reorder list".
The template will appear on the right under "Existing parts reorder list".
Setting Up Your Part Reorder List
Click "Add parts" next to your new template to configure.
Part: Select the part you want to reorder automatically.
Minimum stock level: The stock quantity threshold that triggers reordering.
Reorder quantity: How many of this part should be ordered when the minimum is reached. Must be greater than or equal to the minimum stock level.
Replenishment
PO: Automatically create and send a purchase order to the selected supplier.
Stock and PO: First, try to replenish from another stock location. If unavailable, raise a PO.
Stock location: Location checked first if “Stock and PO” is selected. Must have sufficient quantity to meet the reorder quantity.
Supplier: Supplier to whom the PO should be sent when restocking is needed.
Delivery method: Choose between:
Delivery to office
Collects from supplier
Nominal code: Accounting code used to categorise the purchase.
No. of days to delivery: The expected delivery time from this supplier. This date will appear in the purchase order.
Action: Delete this row.
Stock Locations
Stock locations: Choose the engineers or warehouses this reorder rule applies.
The system checks stock availability across assigned locations before raising a PO.
