Manage backups

Data backups copy your data from your Commusoft account to a secondary location. While Commusoft backs up your data daily, external backups offer additional peace of mind and a historical record of your data.

The backup is available in the form of Excel spreadsheets within a zip file, either through manual download or automated weekly backups via Google Drive.


View Setting

➡️ Navigate to your Profile icon > Settings > Imports and backups > Manage backups > View


Managing Backups

➡️ Choose backup option

  1. Choose one option:

    1. Google Drive Backup:

      • Sign in with your Google account and allow access.

      • Backups are provided in .csv and .xls formats.

    2. Excel Backup:

      • Click the "Excel backup" link to download the excel-backup.zip file to your local PC.

      • Once the backup is ready, a notification will appear in the Notifications (Globe) section.

Google Drive backups are taken every Sunday at 01:00.

➡️ Advanced Options

Track and manage your backup history, including details of which user performed the backup and when.

  1. Click Advanced Options

  2. Select Download

  3. All customer-related information will be contained within the .zip file in Excel format.

Only one backup method (Google Drive or Excel) can be active at a time.

Excel backup links remain available for 30 days from the request date.


How to Export Customer Data

  1. Navigate to Customer a customer record

  2. Click Quick Links

  3. Select Export all customer data

  4. Download Backup

  5. Once exported, a notification will appear containing a download link for the zip file.

    • The .zip file will contain spreadsheets of the customer's data and a folder named "files," which includes all files attached to the customer record.

Invoice/Certificate PDFs: To access these files, download them individually through the relevant customer profile.
