Set up and manage Diary/Schedule settings

These Diary/Schedule settings allow you to control how appointments appear, manage overlapping entries, and define status display options, ensuring your schedule reflects your business's unique workflow.

Configuring these settings ensures that jobs are displayed precisely as needed, helping your team manage appointments efficiently and providing clear visibility of your daily operations.

⚙️ How to access the diary/schedule settings

➡️ Go to your Profile icon → Choose Settings → Locate Schedule and dispatch in the Categories menu → Click View next to Diary/schedule settings


Configure the Diary/Schedule

  • Diary/Calendar display density: This setting controls how prominently calendar appointments appear in your schedule.

    • Compact: Small, concise display.

    • Normal: Standard display.

    • Expanded: Large, prominent view.

  • Overlap events: This option allows you to determine whether to allow someone to book multiple diary events against the same user at the same time.

  • Diary/Schedule view: Choose whether to display users in columns or rows.

  • Show past jobs: Show/Hide past events from the diary/schedule.

    • Show all past events: Displays every past event.

    • Show most recent past event: Displays only the last appointment.

    • Show no past events: Hides all past events, focusing only on upcoming events.

⚠️ With overlapping events on:

  • Users can manually schedule multiple appointments in one timeslot.

  • The scheduling engine can automatically schedule multiple appointments in one timeslot, through either suggested appointments or service booking portals.

  • Normal events will block out a timeslot, useful for preventing scheduling during user PTO.

Status display settings

These options control how different negative appointment statuses are displayed in your diary and schedule.

  • Aborted events / Terminated appointments

  • Rejected events / Rejected appointments

  • No access events / No access appointments

  • Cancelled events / Cancelled appointments

Set each of the statuses to display with one of the following options:

  • Default: The appointment is shown as a regular entry, even if its status is terminated (e.g., reached, etc.).

  • Hidden: The appointment is not displayed on the calendar when in this status.

  • Greyed out: The appointment is visible in the schedule but appears greyed out to indicate its status.

Common Questions

💭 Why hasn't my change been applied to the diary/schedule?

If there are any fields displaying blank, the settings will not be saved. Ensure that each field has a valid entry before saving your changes.

💭 Can I change the time format from 12 hour to 24 hour?

No, the time format is system locked and cannot be changed.
