The tabular report builder is incredibly flexible, but sometimes it helps to have a starting point. Below are three examples of highly requested reports used by field service businesses. You can use these exact configurations as "recipes" in the report builder, or tweak the columns and filters to better suit your unique workflows.
Note: Depending on your region, "Technician" may appear as "Engineer" in your account.
Example 1: Technician revenue
This report allows you to see exactly how much invoiced revenue each technician has generated over a specific period, making it ideal for performance reviews or commission tracking.
Step 1 (Data source): Invoice/credits
Step 3 (Columns): Job number, Job description, Last technician on site, and Grand total.
Step 4 (Filters): Set Closed outcome is equal to Invoiced, and Closed on date and time to your desired range (e.g., Last Month).
Step 5 (Totals): Check Grand total and set the calculation to Sum.
Step 6 (Grouping): Select Last technician on site.
Example 2: Unscheduled Jobs Backlog
This operational report creates a clean, prioritized list of jobs that have been logged into the system but have not yet been assigned a date or a technician. It is essential for dispatchers to ensure no work falls through the cracks.
Step 1 (Data source): Jobs
Step 3 (Columns): Job number, Customer Name, Property Address, Job description, and Created on date/time.
Step 4 (Filters): Set Job Status is equal to Job Added (or your equivalent unscheduled status).
Step 5 (Totals): Skip this step.
Step 6 (Grouping): Select Job category to organize the backlog by the type of work required.
Example 3: Overdue Unpaid Invoices
This financial report gives your accounts team a direct hit-list for chasing debt. It isolates all invoices that have passed their due date and have not yet been settled.
Step 1 (Data source): Invoice/credits
Step 3 (Columns): Invoice number, Customer Name, Contact Telephone, Due date, and Grand total.
Step 4 (Filters): Set Invoice status is equal to Unpaid, and Due date is Before Today.
Step 5 (Totals): Check Grand total and set the calculation to Sum to see your total outstanding debt.
Step 6 (Grouping): Skip this step.
Step 8 (Condition formatting): Set a rule where if Grand total is Greater than 1000, the row highlights in Red (to prioritize high-value debt).
