How to set up the invoice portal

Set up the invoice portal so customers can view invoices and pay online, and control when card payments are available.

User role required: Owner/Manager

The invoice portal lets your customers view and download their invoices and pay you online, from a computer or their phone. These settings control how they pay, who gets told when a payment lands, and what contact details they see if they need help.


Before you start

Having at least one of these integrations set up enables these settings, so you can then configure them.


Payment details

Control whether your customers can pay by card, and up to what value. A card limit gives you more control over transaction fees on high value invoices, since bank payments usually cost you less than card.

  1. Set Enable credit card to one of the following.

  2. Click Save.

  • Always: customers can always pay by card, whatever the invoice total

  • Enable when amount is less than: customers can only pay by card when the invoice is below the amount you set

Choosing the limit option adds an Enable when amount is less than field underneath. Enter the amount there.

Important: Tell your customers not to reload the page while a payment is processing. Reloading can take a duplicate payment from their account.

This setting controls card payments only, so what your customer can actually use depends on which integrations you have connected.

Bank payment

When both integrations are connected, card and bank are both offered by default and neither can be switched off manually. Setting a card limit is the only way to control which is available.

Preferences

Send your customer a receipt when a payment succeeds. A PDF copy of the receipt is attached to every payment email for your records.

The email uses your Payment email template, so create one first if you do not have a suitable template already.


Communications

Set what appears in the support panel your customers see in the portal, so they know how to reach you.

  • Email address: choose Don't show email, Show company email to use the address from your company details, or Enter email to type a different one

  • Phone number: choose Don't show phone, Show company phone to use the number from your company details, or Enter phone to type a different one

  • Contact support description: the text inside the panel

  • Contact support title: the panel heading

  • Contact support available timing: when your team is available

Note: To hide the support panel completely, set both the email address and phone number to the "Don't show" options.


Notifications

Choose who is notified inside Commusoft when a customer makes a payment.

Everyone in the roles you pick gets an in-system notification each time a payment is made in the portal.


Email notifications

Send an email confirmation whenever a portal invoice is paid. This is separate from the receipt your customer receives.

  1. In To, choose the roles or users to notify, or type an email address and press Return to add it.

  2. Select a template from Email templates.

  3. Click Save.

Note: Create the email template you need before setting this up, so it is ready to select.

With your payment settings saved, finish the setup so customers can reach the portal and see everything they need.


Common questions

What happens if an invoice is more than my card limit?

If an invoice is above your card limit, the card option is not offered in the portal. Your customer pays from their bank account instead if you have GoCardless connected. If Stripe is your only integration, they see a message asking them to contact you to arrange payment.

Can I stop customers paying by bank above a certain amount?

No, the limit here applies to card payments only. There is no equivalent setting for bank payments, and individual payment methods cannot be switched off in the portal.

Which roles can I notify?

The roles available are the user roles set up in your system, so the list you see matches your own configuration. Pick the roles that need to know as soon as money arrives, usually your finance and management roles.

Why has my customer been charged twice?

A customer can be charged twice if they reloaded the portal page while their payment was still processing. Ask customers to wait for the confirmation rather than refreshing, and check your payment integration for the duplicate so you can refund it.
