Understanding the Speed to Lead agent

Learn how the agent responds to new leads, qualifies them, and books a survey.

The Speed to Lead agent is currently built specifically for boiler enquiries. It responds to new leads around the clock, so a lead never goes cold or to a competitor while your office is busy or closed. When a new lead comes in, the agent calls the prospect, qualifies the enquiry, and books a boiler survey straight into your Commusoft diary. It adapts what it says based on your business settings, and hands off to your team whenever a person is needed.


Before you start

The Speed to Lead agent relies on new leads landing in Commusoft to know when to call. Using the Zapier integration, you can set up a Zap that creates a Commusoft opportunity every time a new lead comes in, using the opportunity template this agent is configured to watch.


How the agent responds to a lead

The agent handles both outbound calls to new leads and inbound calls when a lead rings back.

  • New leads: when a new lead lands in the pipeline of your chosen opportunity template, the agent calls the prospect promptly, so you're first to respond.

  • Call backs: if a lead returns a missed call, the agent recognizes their number, greets them by name, and references the property on file so the call feels genuine rather than a cold call. It then moves into the same qualification flow as an outbound call.


How the agent qualifies a lead

Before booking anything, the agent gathers the context your estimators and surveyors need:

  • The reason for the enquiry: whether the boiler has failed completely or the customer is planning ahead.

  • Boiler age: the approximate age of the current boiler, which helps your team gauge its condition and the strength of the lead.

  • Previous experience: whether the customer has replaced a boiler before, so the agent knows how much guidance to give.

  • Urgency: the agent sorts the lead into emergency, proactive, or researching.


How the agent decides on a survey type

Near the end of qualification, the agent asks two questions to work out how the survey can be carried out:

  • Is the new boiler going in the same location as the current one?

  • Is it a direct swap for the same type of system, for example a combi replacing a combi?

The answers decide what the agent offers:

  • Both answers yes: the agent offers a remote survey or an on-site survey.

  • Either answer no: the agent offers an on-site survey only, because the installation is more involved.

  • The customer isn't sure: the agent offers an on-site survey only.

The agent will schedule the relevant survey type and a confirmation communication will be sent to the contact to confirm the appointment is booked.


How the agent adapts the conversation

The agent doesn't follow one fixed script. It adjusts to the settings in your agent profile:

  • Accreditations: if you belong to a manufacturer scheme, the agent highlights it and any extended warranties. If not, it focuses on your local Gas Safe expertise and the value of a professional survey.

  • Finance options: if finance is switched on, the agent uses your headline rate to handle price objections. If not, it focuses on long-term energy savings and efficiency.

  • Safety net: the agent never mentions finance, specific brands, or extended warranties unless you've switched them on.


Handling complex scenarios

  • No memory of the enquiry: if a customer doesn't remember enquiring, the agent moves from a sales pitch to explaining the value, then checks whether they'd still like a price. If they keep declining, it ends the call politely and logs the outcome.

  • Someone else answers: if a partner, tenant, or relative answers, the agent notes the best time to reach the lead and ends the call politely.

  • Sensitive issues: if the agent detects signs of bereavement, illness, or hardship, it offers its best wishes, stops the sales sequence, and creates an urgent review task for your team to handle with care.

  • A request for a person: if the customer asks to speak to someone, the agent explains it can't transfer the call and arranges for the office to call them back.


Confirming the booking

When a survey is agreed, the agent verifies the details so the appointment runs smoothly:

  • It confirms the best contact number and reads the email address back to check it.

  • It encourages anyone involved in the decision to be there, to avoid wasted visits.

  • If you've enabled a "what to expect" video, the agent points to it in the confirmation email.

Does the agent identify itself as an AI?

That depends on how the agent is configured. The Disclose as AI agent option controls this. When it's switched on, the agent says it's an automated assistant. When it's off, it introduces itself soley using the name given in the settings.

How do I get the Speed to lead agent?

Do I need Zapier to use this agent?

Yes. The agent relies on your Zapier pipeline to bring new leads into Commusoft, so this needs to be set up first. See the "Before you start" section above.
