Understanding the Job Dashboard

A clear guide to using the Job Dashboard to manage jobs, views, stages, filters, and timelines—customised by plan type.

The Job Dashboard serves as the central command center for all your ongoing work. It allows you to track the progress of jobs in real-time, filter by user or status, and quickly access essential job details.

How to access the Job dashboard

The job dashboard can be access via the navbar, located at the top of every screen throughout Commusoft.

The timeline view

The timeline view is the default dashboard layout. It displays a four-pane interface that lets you filter, select, and audit jobs efficiently.

Job views

The job views panel acts as your primary filter. It categorises your jobs based on their current status in the workflow. Clicking a category here updates the lob list to show only the relevant jobs.

Every account comes with five default views to get you started:

  • Without diary events

  • In progress

  • Needs attention

  • On hold

  • Completed

You can collapse this panel to expand your workspace by clicking the collapse icon in the top right of the panel header.

Job list

This section displays a searchable list of all jobs contained within the category you selected in the Job Views panel.

  • Navigation: Scroll through the list to see high-level job info.

  • Selection: Clicking a job card in this list immediately populates the timeline and job overview panels with that job's data.

If another user is currently viewing a job, you’ll see their profile icon on the card.

Timeline

Located in the centre-right, the timeline provides a chronological history of all activity associated with the selected job. It is essential for auditing the job's lifecycle.

  • Activities Tracked: Job creation, diary bookings, invoices raised, notes added, and status changes.

  • Filtering: Use the buttons at the top of the timeline to filter by specific activity types, date and also user.

  • Adding Records: Use the Add record button to manually log new updates such as:

    • Sending an emails or SMS

    • Logging notes and calls

    • Adding a new appointment or scheduled activity

    • Creating new invoices or attachning files

Job overview

The right side panel displays critical snapshot information for the selected job. This allows you to check details without opening the full job record.

  • Map: Shows the site location on a mini-map.

  • Customer Details: Displays the account name, site address, and primary contact number.

  • Who's Viewing: If other users are currently viewing this job, their profile icons will appear here.

  • Job Details: Lists the job number, description, and assigned user/engineer.

    • Note: The specific details shown depend on your current plan features.

    • Tip: Click the Job number to open the full job record in a new tab.

  • Contact Details: Provides the specific contact person's name, email, and phone number for quick communication.

  • Other Details: Displays audit information, including who created the job and when.


The kanban view

If you are on the Customer Journey plan or above, you have access to an alternative visual layout called Kanban View. This is ideal for managers who need a high-level overview of job volume across different stages of a pipeline.

The view type (List or Kanban) is configured within your Job Views settings. To learn how to set this up, please read our guide on Setting Up Job Views.

When you set a view to the Kanban view, the standard list and timeline are replaced by a dynamic board that visualises your workflow as vertical columns.

  • Pipeline-Driven: The stages displayed are determined by the specific pipeline assigned to the jobs in your current view.

  • Left Panel: The job views panel remains visible on the left, allowing you to filter which jobs appear on the board.

  • To view the kanban board in full, collapse the job views panel using the button.

  • Use the scroll bar at the bottom of the screen to view all stages of your pipeline.

Switching job pipelines

If your business manages multiple workflows, you can switch between active pipelines using the dropdown menu located next to the search bar.

  • Active Pipelines: Select a pipeline from the list to instantly load its specific stages and associated jobs.

  • Archived Pipelines: Check the Show archived box at the bottom of the dropdown to view historical or deactivated pipelines.

This pipeline selection applies only to the current view you are using, each view is configured separately.

Managing jobs on the board

The Kanban board allows you to interact directly with your jobs to keep your workflow moving efficiently.

  • Moving Jobs: Drag and drop a job card from one column to another to instantly update its stage in the pipeline.

  • Rearranging: Drag and drop cards up or down within a single column to reprioritise them.

  • Sorting: Click the arrow icon at the top of any column to sort cards by date created, job description, or status.

Navigating the board

To keep your workspace organised and focused, the board includes several tools for managing visibility.

  • Collapsing Columns: Use the left/right arrow icons at the top of any column header to collapse or expand that stage.

    • This helps declutter your view.

  • Search: Use the search bar at the top to quickly find a job by customer name, address, or job description.

Viewing job details

You can access essential job information without navigating away from the board view.

  • Quick View: Single-click any job card to open the job details left side panel.

  • Close the Side Panel: Single-click the same card again to close it.

  • Full Record: Double-click any job card to open the full job record in the same browser tab.


Managing Your daily workflow

Once you have selected your preferred view, use these tools to locate specific jobs and perform quick updates to keep your schedule accurate.

Filtering your jobs

To find specific jobs or view the schedule for a particular team member, use the search and filter tools located above the Job List.

  1. Search: Use the search bar to find jobs by customer name, address, or job number.

  2. Filter: Click the Filter button (funnel icon) to refine your view by:

    • Period: Today, This Week, or a Custom Date Range.

      • Weekly filter will apply for Monday - Sunday, this is not adjustable.

    • Engineer: View jobs assigned to a specific engineer.

    • Status: Refine the list within your current Job View.

Performing job actions

You can perform quick actions directly from the Job Overview panel without leaving the dashboard.

  • Take this job: If a job is unassigned, click the user icon to assign it to yourself or another engineer immediately.

  • Edit: Click the Edit button (pencil icon) to update basic job details such as the description or custom fields.

  • View Full Record: Click the Job Number link to open the complete job file (Financials, History, Notes) in a new screen.


Common questions

💭 Can I customise the job views?

On the GoPaperless plan, job views are not customisable. This plan has access to the default stages and more can be added in the Job stages settings.

On the Customer Journey plan and above, job views are fully customisable, including the type of view and job card design. Read more on configuring the job views.

💭 Can I customise a job pipeline?

Job pipelines is an advanced feature available on the Customer Journey plan and above, allowing full control over creating and editing pipelines. Read more about configuring job pipelines.
