History and Suppliers tabs on a part record

Track every movement of a part in the History tab, and see linked suppliers and pricing history in the Suppliers tab.

The History and Suppliers tabs answer two common questions about a part: where has it moved, and who do you buy it from. Use them to trace discrepancies and to compare what you have paid over time.

View record

Both are tabs on a part record.

➡️ Click the Global search bar > enter the Part name, the Manufacturer part number, or a Stock location > select the individual part > click View > History or Suppliers

Tip: For the other tabs and an overview of the whole screen, read Understand the part record.

History tab

The History tab gives you a complete audit trail of every movement of this part across all stock locations. Use it to track down discrepancies and understand how inventory is being used.

Filter the history

Use the filters at the top of the page to narrow the list.

Action: Filter the movement history by event type. The dropdown includes:

  • Manually adjusted: Stock levels changed by hand, outside normal purchasing or usage workflows

  • Purchased: Parts added to the stock location, usually through a purchase order

  • Reserved: Parts allocated to upcoming jobs, reducing the available balance

  • Unreserved: Previously reserved parts released back into general use

  • Used on site: Parts consumed during jobs at a customer's site

  • All transfers: Every stock movement in and out of the location

  • Transferred for a job: Parts moved from this location to fulfil a specific job

  • Transfer without a job: Movements between internal stock locations, with no job attached

  • Reserved for return: Parts due back to this stock location that have not yet arrived

  • Returned to supplier: Parts sent back to the original supplier

  • Adjusted: General stock adjustments that do not fit the other action types

Part: Search for a stock location by name to see only its history for this part. Enter two or more characters to start the search.

Date: Select a preset range, or choose Date range to set your own start and end dates. The presets are Today, This week, Last week, This month, Last month, Next month, and Last 3 months.

More filters: Opens a side panel for more specific criteria:

  • Quantity: Filter by a specific quantity

  • Unit cost: Filter by the cost of the stock

  • Job no: Filter by a specific job number

  • PO created date: Filter by the purchase order creation date
