Vehicle geo-fences
Updated over a month ago

A geo-fence is a designated area on a map that enables tracking and alerts when a vehicle enters or exits the boundary. This lets you define locations, monitor vehicle movements, and receive notifications for unauthorised activity or specific operational events.

View setting

➡️ Navigate to your Profile icon > Settings > Fleet Management > Vehicle geo-fences > View

Add new geo-fence

➡️ Add new geo-fence

Geo-fence creation follows a step-by-step process displayed on the left side of the screen. The progress bar tracks completion, and you must navigate through each step sequentially:

Step 1: Basic Details

  • Name: Enter a name for the geo-fenced location (e.g., "Warehouse perimeter").

Step 2: Location

  1. Define the location with one of the below options:

    • Use the search bar to navigate to a specific location.

    • Use the icon to center the map on your current location.

    • Use the mouse to move the map and click to set the pin manually.

  2. Set the perimeter:

    • Draw manually: Use the drawing tool to mark a custom boundary using lines, click on the map to set markers and create the boundary shape.

      • To amend a drawn perimeter, click the icon > Click on a marker to expand the shape > Click Complete to save shape changes or Cancel to remove changes

    • Set around location: Use the scalable perimeter tool to set the boundary around your chosen point, adjusting the range as needed using the slider and the +/- buttons

      • Drag the pin to move the entire boundary.

    • Use the icon to delete the set boundary.

Use the icon to recenter the map to the middle of your boundary.

Step 3: Time

  • Specify the days and times to apply the geo-fence:

    • Tick the days of the week

    • The time dropdown will default to Anytime, change this to a specific start time to set a time period > Set the end time.

      • For example, Mondays from 9 am to 12 pm and 1pm to 5pm allows for free movement from 12 pm to 1 pm.

Step 4: Assign to

  • Choose which vehicles the geo-fence will apply to:

    1. Specific vehicles: Assign to one or more vehicles by selecting them from the drop down.

    2. All vehicles: Apply the geo-fence to all vehicles in the fleet.

Vehicles will need to be added via the FMS dashboard to apply geo-fences to specific vehicles.

Step 5: Notifications

  1. Choose whether notifications are sent when a vehicle:

    • Enters the gero-fence

    • Exits the geo-fence

  2. Email notification: Set up email alerts to notify the appropriate recipients when engineers do not meet departure rules.

    • Who should receive notifications:

      • Users: Send the notification to the chosen user names only.

      • Roles: Send the notification to all users on the chosen roles.

      • Everyone: All users receive the notification.

      • None: Disable this notification type.

    • Email template: Select an appropriate email template to use for this notification.

      • Add new template: Create a new template to use if you have not done so already.

  3. Notification: Enable global notifications for in-system alerts.

    • Who should receive notifications:

      • Users: Send the notification to the chosen user names only.

      • Roles: Send the notification to all users on the chosen roles.

      • None: No one receives the notification.

Step 6: Finish

  • Click Finish to choose to either:

    1. Activate the template immediately.

    2. Save as draft to activate later.

Once activated, the geo-fence will be assigned based on the configuration in Step 4.
