Viewing invoices, credit notes, and payment history

Find every invoice and credit note on your account, download PDF copies, and see which invoices each payment covered.

User role required: Financial office staff and above

Your billing dashboard keeps a full record of everything Commusoft has billed you for your subscription. The Invoices/Credit notes tab lists every invoice and credit note, and the Payments tab shows your payment history.


Viewing and downloading invoices and credit notes

➡️ Click your Profile icon > Billing > Invoices/Credit notes

  1. Review the list. Each line shows its Date, Number, Description, Net, VAT, Gross, and outstanding Balance.

  2. To find a specific entry, use the Search by number or description box above the list.

  3. Click Download in the Action column to save a PDF copy of any invoice or credit note.

Tip: Credit notes are labeled Credit Note in the Description, and their amounts appear in red and in parentheses to show they reduce your balance.


Reviewing your payment history

➡️ Click your Profile icon > Billing > Payments

  1. Review the list of payments. Each row shows the Date, the Method used, the number of Invoice(s) the payment covered, and the Payment amount.

  2. Click a payment row to expand it.

  3. Under Invoices/Credit notes, see each invoice the payment was allocated to, including the Amount allocated to each.

    • Click Download to save a PDF copy.

Tip: A single payment can cover more than one invoice, because Commusoft issues separate invoices for different charge types. To learn why, see Understanding your Commusoft billing.


Common questions

Why is there a credit note on my account?

A credit note reduces your balance — for example, a prorated credit when you upgrade or renew your plan. It appears in the Invoices/Credit notes tab with Credit Note in its description and its amounts shown in red.

Why don't I see the invoices I send my own customers?

This dashboard only shows what Commusoft bills you for your subscription. The invoices you raise for your own customers are managed separately — see Customer invoicing.

How do I see which invoices a payment covered?

Open the Payments tab and click the payment to expand it. You'll see every invoice it was allocated to, along with how much of the payment went to each.

How do I pay an outstanding invoice?

When one or more invoices are overdue, a Please make a payment alert appears at the top of the Overview tab. The invoices are listed below under Unpaid Invoices, each showing its Balance owed and a Status of Unpaid or Overdue. Click Pay now in the alert to settle the outstanding balance.
