Managing Jobs on the Mobile App
Updated over a week ago

The mobile app provides field engineers with a comprehensive toolset to manage and update job-related tasks efficiently. Engineers can access job details, progress job statuses, and complete necessary actions while on-site, ensuring smooth operations and seamless communication with the back office. If the Job Dashboard feature is enabled on the web, engineers can also update job stages in real time.

Viewing and Managing Jobs

After a successful job creation and appointment assignment to a specific engineer, the mobile user can view all their jobs from the Diary/Schedule tab or see their ongoing and next events directly from the Home screen.

Home Screen Sections

The home screen is split in to various sections.

Ongoing Events

Appointments marked as Travelling or Arrived. If an appointment is marked as Travel, you can quickly update it to Arrived from the home screen.

Details shown:

  • Description

  • Job number

  • Job contact

  • Job address

My Next Event

Appointments that have not yet been accepted.

Details shown:

  • Appointment time

  • Mini map

  • Job description

  • Job number

  • Job contact

  • Job address

  • Phone icon (tap to call client)

  • Accept button to confirm the job

Diary/Schedule Tab

The Diary/Schedule tab offers multiple views so you can easily locate your appointments using the Daily, Monthly, or List format.

Once you've located the appointment, simply tap on it to access further actions and view full job details.

Event Statuses

Note: These event statuses are separate from Job Stages, which are only available if the Job Dashboard feature is enabled on the web.

Efficiently manage your tasks by updating job statuses in real-time:

  • Accept: Confirm your ability to undertake the job.

  • Travel: Indicate when you're en route to the site.

  • On Site: Mark your arrival and commence work.

  • Leave Site: Pause the job if necessary (e.g., to procure parts).

  • Abort / Abandon / No Access: Record situations where the job cannot proceed, providing reasons as required.

Event Details

Tapping an event shows more detail, including:

  • Customer name

  • Address

  • Telephone

  • Email

  • Account number

  • Appointment description

  • Event number: Job/Estimate/Opportunity

  • Customer contact details

  • Option to cancel the appointment

This screen helps engineers quickly understand the job, contact the client, or take action as needed.

Managing Job Stages

This section only applies if the Job Dashboard feature is enabled on the web. If set up, engineers can progress jobs through custom job stages from their mobile app.

Rejecting or Aborting a Job

If the engineer selects Reject, Abort, or No Access, a list of job stages related to that specific job will appear. This allows them to record the most appropriate reason or stage for the job ending prematurely. These stages are pulled directly from the setup on the web and are customised per client.

Leaving the Site and Marking a Job as Complete

At the end of the job, when the engineer selects "Leave Site", a confirmation prompt is displayed. Regardless of whether "Yes" or "No" is selected, the available job stages will be shown again. This provides the option to update the job stage to reflect the accurate completion status.

  • The job stage marked as Job Completed on the web is what determines if a job is finished.

  • If a required Job Completed stage is skipped, the job will remain incomplete.

  • Once a job is closed, stages cannot be changed on either the mobile or web app.

Accepting a Job

Once the job is accepted and completed, engineers are shown a summary screen.

If the job reaches a Job Completed stage, this automatically marks the job as complete and triggers final invoice generation (if applicable).

Key Highlights

  • Job stages shown in the mobile app are based on your company's web setup.

  • Stages can be selected in any order, unless restricted by rules in your setup.

  • Job Completed can be configured to apply to one or multiple stages.

  • Selecting a Job Completed stage closes the job and prevents any further changes.

Other Actions

While on-site, additional features are available to document and manage event specifics.

  • Visit & Site Notes/Links: Add observations or important information pertinent to the visit or site.

  • Attachments: Upload photos, files, or documents related to the job.

  • Assets: View, add, or manage equipment associated with the job.

  • Invoices: Raise invoices and add payments on site.

  • Forms: Add a Custom Form

  • Parts: Record parts used or required, facilitating inventory management and future planning.

Completing the Job

After finalizing the event:

  • Completion: Update the job status to reflect its completion.

  • Customer Sign-Off: Obtain digital signatures from clients to confirm job satisfaction.

  • Feedback: Provide any necessary notes or observations for back-office records.

Note: Features and functionalities may vary based on user permissions and app versions. Ensure your app is updated to access the latest tools and improvements.
