Using the Skills setting ensures that only qualified engineers are assigned to jobs that match their expertise. You can create skills like "Installations" or "Repairs" and then assign them to both your engineers and your job description templates. This prevents scheduling errors, improves resource allocation, and helps you send the right engineer to the right job.

How to access the Skills setting
➡️ Go to your Profile icon → Choose Settings → Locate Users in the Categories menu → Click View next to Skills
How to add a new skill
You can add skills on the left-hand side of the page. Your list of existing skills will appear on the right.
Type the name of the new skill in the Skill field.
Click Save skill.
How to manage your existing skills
Once you have added skills, you can manage them from the 'Existing skills' list on the right. This includes changing their order, editing their names, or deleting/archiving them.
How to re-order your skills
The order of skills in this list determines their order in dropdown menus throughout Commusoft.
Go to the Existing skills list.
If you have many skills, you can see more on the page by clicking the 'Showing...' records dropdown (e.g., 'Showing 1 - 5 of 5 records') and selecting a higher number.
Click and hold the skill you want to move.
Drag and drop the skill into its new position in the list.
How to edit a skill
Find the skill you want to update in the Existing skills list.
Click Edit next to the skill name.
Make your changes in the field that appears.
Click Save skill to confirm.
How to delete or archive a skill
Find the skill you want to remove in the Existing skills list.
Click Delete.
The system will then check if the skill is currently in use (assigned to a user or job description):
If the skill is not in use, you will be prompted to confirm its permanent deletion.
To proceed with deleting, type 'delete' in the text box.
Click Delete.
If the skill is in use, the 'Archive Skill' pop-gup will appear, explaining it cannot be deleted.
To proceed with archiving, type 'archive' in the text box.
Click Archive.
Archiving a skill removes it from selection in dropdown menus but retains its historical data. This prevents you from deleting skills that are linked to past jobs or current users.

Common questions
💭 What happens if I try to delete a skill that is in use?
You will not be able to delete it. The system prevents the deletion of skills that are actively assigned to a user or a job description template. You must remove the skill from all users and templates first.
💭 Why can't I see the Skills setting?
To see this setting, your role must be Financial office staff (or higher) in the Jobs role level, or Sales director (or higher) in the Sales role level. Please contact your system administrator if you need access.
Example use cases
💡 Gas vs. Plumbing
Create "Gas Safe Registered" and "Plumbing" as two separate skills. Assign "Gas Safe Registered" only to your certified gas engineers. When a 'Boiler Service' job description (which requires the "Gas Safe Registered" skill) is booked, the system will only suggest engineers who have that skill.
💡 Specialised Services
Create a skill for "Heat Pump Installation." This allows you to easily identify which of your engineers are qualified for this high-skill job and assign them from the diary, even if it's not their only qualification.
