Set up public holiday templates, configure holiday dates, assign to users, and automatically block out diary schedules for time off.

Public holiday templates allow you to manage staff availability by creating groups of holiday dates. Once assigned to a user, these templates automatically block out specific dates in their diary to prevent work from being scheduled on those days with normal events.

How to access the public holiday templates setting

➡️ Go to your Profile icon → Choose Settings → Locate Schedule and dispatch in the Categories menu → Click View next to Public holiday templates


Setting up a new template

Creating a template is a two-part process. First, you create the holiday group for a specific year, and then you configure the specific dates within that group.

Step 1: Add the new template

  1. Enter a name in the text box, such as "UK Bank Holidays" or "US Public holidays".

  2. The year field defaults to the current year. To change this, you can:

    • Delete the text and type a new year manually.

    • Highlight the field and use your mouse scroll wheel.

    • Highlight the field and use the up and down arrow keys on your keyboard.

  3. Click Add public holiday template.

Step 2: Configure the holiday dates

Once the group is added, it appears in the existing public holiday groups table. You now need to add the specific dates.

  1. Locate your new template in the list and click Configure.

  2. Use the date picker under Add public holiday date to select a specific date.

  3. Click Add public holiday date.

  4. The date will appear in the table on the right.

  5. Repeat these steps for all holidays you need to add to this template.

What's next?

Now that your group is created, your next step is to assign it to your users. This is managed from their individual user profiles.

Once the public holiday template is assigned to the user, all normal events for the selected dates will be created.


Managing templates

You can edit the name, change the date configuration, or delete existing groups entirely.

Editing the template name

  1. Find the template in the existing public holiday groups table.

  2. Click Edit in the row for that template.

  3. In the pop-up window, enter the new name.

  4. Click Save.

Adding or removing dates

You may need to update a template if dates change or if an incorrect date was added.

  1. Click Configure next to the template name.

  2. To add a date: Select the date from the picker and click Add public holiday date.

  3. To remove a date: Click Delete next to the date in the list on the right.

  • You cannot edit a date once it has been added. If you make a mistake, you must delete the individual date and add the correct one.

  • If the template was already assigned to a user, deleting a single date will not remove the event from their diary. The event must be deleted manually from each user's schedule.

Deleting a template

If a holiday group is no longer needed, it can be deleted.

  1. Find the template in the list and click Delete.

  2. A prompt will appear asking you to confirm. Type delete and click Confirm.

Deleting the entire template will also remove all associated holiday events from the diaries/schedules of any users it was assigned to.

Can I set up holidays for future years?

Yes, you can create public holiday templates several years in advance to streamline future scheduling and planning.

What will an engineer see on their diary?

The dates configured in the assigned holiday template will appear as a normal event with the name ‘Holidays:’ and the name you assigned to the template.


Example use cases

💡 Annual Bank Holidays (UK)

Create a new template each year, named "Bank Holidays 2025," and add all relevant dates. You can then assign this template to all your UK-based staff to block out their diaries automatically for the year.

💡 Federal and State Holidays (US)

If your business operates in multiple states, create separate templates for federal and state-specific holidays. For example, create a "Federal Holidays 2025" template for all US employees, and a "Massachusetts Holidays 2025" template for staff in that state to account for Patriots' Day, ensuring schedule accuracy across different locations.
