Pricing items are non-physical charges, like service fees or congestion charges, that you can add to invoices on the web and mobile app. While you can manually add these to individual invoices, preconfiguring static prices in your settings allows your team to quickly and consistently apply standard charges across the system, such as a fixed service call-out fee.
Adding a new pricing item
Navigate to Profile icon > Settings
Go to the Pricing category > Click View on Pricing items
Click Add a pricing item.
Enter a Description for the pricing item, such as "Service fee" or "Congestion charge".
Provide the Nominal code used for your accounting system.
Select the appropriate Tax rate from the dropdown menu.
Enter the Unit price as a number without any currency symbols.
Click Save to add the new pricing item to your system.
Managing your pricing items
If you no longer need a pricing item, you can edit its details, archive it to keep historical data, or delete it completely.
Edit a pricing item
Locate the item in your pricing items list.
Click Edit in the Actions column next to the item.
Update the details and click Save.
Delete or archive a pricing item
You can remove pricing items that are no longer needed. The system handles this differently depending on whether the pricing item has been used on past invoices.
Find the pricing item you want to remove in your pricing items list.
Click Delete in the Actions column next to the pricing item.
Follow the prompt based on the pricing item's current status:
If the pricing item is not in use: The system prompts you to confirm permanent deletion. Select Delete.
If the pricing item is in use: The system will prompt you to archive it instead. Select Archive.
Advanced Options
You can manage large lists of pricing items in bulk using a CSV file, or download your existing list.
Download pricing items
Click Advanced options.
Select Download pricing items.
The file will download to your browser's designated downloads folder.
Import and update pricing items
