Schedule notifications for routine upkeep tasks, such as oil changes, tyre rotations, and brake inspections. By setting time- or mileage-based reminders, you can ensure maintenance is performed promptly, reducing the risk of breakdowns and costly repairs.


View setting

➡️ Navigate to your Profile icon > Settings > Fleet management > Vehicle reminders > View

Use the search bar and filters to quickly find specific records within the list.


Add new maintenance task

Step 1: Basic details

Basic details

  1. Task name: Enter the name of the maintenance task (e.g., "Oil change").

  2. Notes: Add any important details or additional information relevant to the task.

  3. Set priority: Specify the priority level (High, Medium or Low) to determine the urgency of the task.

Due Reminders

Time interval

  1. Time interval: Specify how often (in weeks or months) the maintenance task should be performed.

    • Example: Set "10 weeks" for a task that needs completion every 10 weeks.

  2. Reminder shows up: Set how many weeks before the due date the reminder should appear.

    • Example: If set to "1 week," the reminder will show up during the 9th week for a 10-week interval task.

Mileage reminder

  1. Mileage interval: Specify the mileage at which the maintenance task should be performed.

    • Example: Set "500 KM" for a task that needs completion every 500 kilometers.

  2. Reminder shows up: Set the mileage threshold for when the reminder should appear.

    • Example: If set to "460 KM," the reminder will show up when 460 kilometers are reached.

A notification can be set for both time and mileage, whichever is reached first will trigger the notification.

Step 2: Notifications

Email notification

Set up email alerts to notify the appropriate recipients when engineers do not meet departure rules.

  • Who should receive notifications:

    • Users: Send the notification to the chosen user names only.

    • Roles: Send the notification to all users on the chosen roles.

    • Everyone: All users receive the notification.

    • None: Disable this notification type.

  • Email template: Select an appropriate email template to use for this notification.

    • Add new template: Create a new template to use if you have not done so already.

Notification

Enable global notifications for in-system alerts.

  • Who should receive notifications:

    • Users: Send the notification to the chosen user names only.

    • Roles: Send the notification to all users on the chosen roles.

    • None: No one receives the notification.


Managing reminders

Edit maintenance

➡️ Edit > Amend details > Save

If the reminder is assigned to a vehicle, it cannot be edited.

Delete maintenance

➡️ Delete > Type Delete > Confirm

If the reminder is in use, it cannot be deleted. Instead, consider archiving it for historical purposes.
