How Does Commusoft Handle Report Exports to Excel Based on File Size?
Commusoft provides a seamless method for exporting reports to Excel. The behavior of the system depends on the size of the file being exported. Here's an overview of how this works:
Additionally, it is important to note that larger datasets exceeding 5,000 records cannot be exported in a single operation due to system limitations.
System Behavior Based on File Size
Small Exports: When you click "Download to Excel" on a report and the file is small, it will download directly to your browser's downloads folder. This process is straightforward and requires no additional steps.
Large Exports: If the report is too large for your browser to handle directly, Commusoft processes the file differently. Large exports are placed in the Notifications section within the application. This happens when the database size makes the export exceed what the browser can process in a single step. The system can process large exports for datasets containing up to 5,000 records at a time. For datasets exceeding this limit, users are advised to utilize filtering techniques to divide the export into smaller, manageable portions.
Accessing Large Exports
After initiating a large export, look for a notification in the Notifications icon, which is located near your profile in the top-right corner of the application.
Open the Notifications icon.
Locate the recently completed export.
Click the relevant notification to download the Excel file to your computer.
This process ensures that even large files can be handled efficiently without overwhelming browser capabilities.
Batch export technique: Managing large datasets
When working with very large datasets that exceed the 5,000-record export limit, you can use a batch export technique by breaking the data into smaller chunks. Here's how to do it:
Navigate to the Reporting section and open the desired report.
Utilize the filter options at the top to segment the data—e.g., by "Date Created" or other criteria.
Apply the filters to generate a subset of the report.
Export the filtered subset by clicking "Download to Excel."
Repeat these steps for additional segments until the entire dataset is captured. This method ensures an accurate and complete export of large datasets within system constraints.
Additional notes on exporting data
Exported files can be merged manually post-download for easier management.
Allow sufficient processing time for large files that appear in the Notifications area.
When applying filters, consider using logical date ranges or specific data fields relevant to your requirements.
