Scheduled activities allow you to meticulously plan and organize tasks, appointments, and interactions. This systematic approach supports efficient time management, task prioritization, and accountability. Ultimately, it ensures timely assistance and support for your customers.
Schedule an activity
➡️ Locate the Customer > Property page > Communications tab > Add record > Schedule activity.
Description: Provide description based on user communication, planning, and the execution of the scheduled task, ensuring that the assignee is aware of the activity's scope and objectives.
Notes: Provide detailed instructions, important points, or any supplementary information that can be helpful for the user involved in carrying out the activity.
Type: Select he type of task that needs to be performed for this activity. There are four different types: Call, Email, Meeting or Task.
Due date and time: Choose when this activity should be completed by. This ensures that the assignee can engage with the activity at the most appropriate moment. To set this, click the 'lift-off' icon next to the date and time, and then adjust it as needed.
Assign to: Choose who you want to complete the activity or leave it unassigned for any available user to take. Multiple users can be assigned if needed.
Save/Discard: Review the details, then click Save or Discard once you’ve completed the pop-up.
Scheduled activities are pinned to the top of the property dashboard until they are completed and are displayed in order of their due date and time.
Scheduled activities can be uncompleted from the View customer and View Opportunity page.
View all scheduled activities
Go to the 'Scheduled activities' icon located in the top right corner of the screen. Search or use the filter options such as Date, Activity type, Displayed by (assignee/s), and Record type.
Locate activity in timeline > View
You can also Edit, Delete or complete any Scheduled activities from this section.
You can also view all scheduled activities by clicking on 'Run through all scheduled activities' at the top right corner.
You can also reschedule, skip, or complete the current scheduled activities directly from the top of the screen.
Complete an activity
When working through the scheduled activities, you have two options for marking them as completed: Directly from the Scheduled Activities screen, or click the 'Run Through All Scheduling Activities' section to view and complete all activities for that customer.
Locate any scheduled activity in timeline > Check the box against that.
Click run through all the activities > Click 'Complete' for the required scheduled activity.
What's next?
Once you mark a scheduled activity as completed, you'll be prompted to update based on the task selected during scheduling.
Call activity opens ‘Log new call’ box > Enter call details > Save.
Email activity opens ‘Send new email’ box > Compose email > Send.
If you need to schedule another activity after marking the current one as completed, check the box for 'Schedule new activity' and create a new one.
