Track and manage your parts more effectively using the Part Status widget and Operational List. This article explains how to add the widget to your dashboard, interpret its status categories, and navigate to the Operational List to take action, such as fulfilling, ordering, or scheduling parts for jobs.
Parts status widget
➡️ Reporting tab > Parts status
Add Parts Status widget
➡️ Reporting tab > Quick links > Add/remove dashboard widgets > Parts status > 'Tick' the report > Save.
Widget Overview
The Parts Status widget displays a live summary of parts across three key categories:
Requested parts: Parts that have been requested but not yet ordered
Parts on order: Items that have been ordered but not yet marked as available
Parts available without future diary events: Items available in stock but not scheduled for use
Clicking on any number will open the Parts Operational List, filtered to show jobs with that part status.
Parts Operational Lists
Two ways to view the parts operational list.
➡️Reporting tab > >Parts > Parts Operational Lists
➡️Click any count in the Parts status widget.
In the top-right of the report, you'll see a button that changes based on which list you are viewing.
Requested Tab:
Select the parts you want to fulfil using the checkboxes, then click Fulfil selected parts.
A side panel will open, allowing you to choose where to fulfil the parts from. If ordering from a supplier, you’ll be taken to a purchase order screen to complete the order.
On Order Tab:
Once parts are ordered, they move to the On order tab. Select the parts and click Mark as available to confirm which quantities have been received. A side panel will appear for you to input received quantities.
Available Tab:
After marking parts as available, they’ll move to the Available tab. From here, you can schedule diary events by selecting parts and clicking Create new diary event. Book one event at a time, then return to the list to schedule the rest.
Fulfil Selected Parts
This button is used to update the status of a part to Available by selecting where the part is coming from, either from stock or via a supplier. This helps track part fulfilment and keep jobs moving forward.
Mark a Part as available
Select the checkbox of the job number for which you want to be marked as parts fulfil.
Click the Fulfil selected parts button.
In the form, select whether the part will come from:
Stock (existing inventory)
Supplier (requires a purchase order)
Click Save to confirm.
Based on the selected location, the parts status will change.
If the part comes from stock:
The system reserves the stock.
The part status becomes Available.
If the part comes from a supplier:
A purchase order is automatically created.
The part status updates to On order until the stock is received.
