Using advanced options to bulk manage pricing items

Learn how to add new or update existing pricing items in bulk using a spreadsheet.

If you have a large list of pricing items, you can upload them all at once using a CSV file. You can also use this feature to make bulk changes to your existing pricing items, saving your team from manual data entry.

If you only need to add a single pricing item, you can add it manually instead.

How to prepare your CSV file

Before importing, you must format your spreadsheet correctly. The file you start with depends on whether you are adding new items or updating existing ones.

Download a blank template

If you are adding pricing items for the first time, start with a blank template.

The template provided includes an example pricing item in row 2 to help with data placement.

Download your current list

If you want to update pricing items you have already saved in Commusoft, use your current list as a starting point.

  1. Click your Profile icon > Click Settings.

  2. Select the Pricing category > Click View on Pricing items.

  3. Click Advanced options to expand the section.

  4. Click Download pricing items.

  5. The file will be saved to your browser's designated download folder once complete.

Format your data

Whether you use the blank template or your existing list, ensure your data follows these rules to prevent import errors:

  • Description: Must not contain commas.

  • Nominal code: Must match an existing code in your Commusoft system.

  • Tax / VAT: Enter a valid tax rate or description without a "%" symbol.

  • Unit price: Enter a valid number (e.g., 10 or 10.00) without any currency symbols.

When you've finished working on your spreadsheet, save it as a CSV file.

Note: If your account has complex tax enabled, the Tax / VAT column refers to the tax description.

Update specific rules

  • The ID column in the file download is not required, this can be deleted.

  • The description needs to match to ensure the data is validated for updating.


How to import your CSV file

Once your spreadsheet is formatted and saved, you are ready to upload it to the system.

  1. Click your Profile icon > Click Settings.

  2. Select the Pricing category > Click View on Pricing items.

  3. Click Advanced options to expand the section.

  4. Check Check the box if the CSV file has a title in the first row if your spreadsheet includes headers.

  5. Click Upload your CSV file and select the spreadsheet from your computer.

  6. A pop-up will appear showing the columns from your spreadsheet.

  7. Use the dropdown menus to match each of your columns to the corresponding Commusoft field.

    1. The import screen will try to map the fields correctly, review these before continuing to avoid mapping errors.

  8. Click Save to complete the import.

  9. The system will import the spreadsheet in the background and a notification will trigger when complete.

Common questions

Why did my CSV import fail?

If your CSV import failed, you will receive a notification with a spreadsheet detailing the errors. Download and review this file to see which corrections are needed. Once you make the required edits, try the upload again.
