How to configure the Speed to Lead agent

Learn how to set up the Speed to Lead agent, define its trigger logic, and manage notifications.

Note: The Speed to Lead agent is in closed alpha testing and available to a limited number of clients. It's still in active development, so some features and settings may change. It may not appear in your account yet.

User role required: Owner/Manager (Job management) or Sales Owner/manager (Sales)

Region: UK only

The Speed to Lead agent calls new sales leads and inbound call backs on your behalf, qualifies the enquiry, and books a survey directly into your diary. Before the agent can make calls, it needs to be configured across four steps: basic details, conversation logic, trigger scheduling, and outcome notifications.


Before you start

You'll need a Zap set up so that new leads create a Commusoft opportunity.


Complete the setup wizard

To start setting up your agent:

Try this agent sits on The Speed to Lead card, under Recommended agent for you Sales. The configuration wizard opens with four steps.

Step 1: Basic details

This step defines the agent's identity and how it introduces itself on calls.

  1. In the Agent name field, enter the name your agent will use when speaking to customers. This is used in every call greeting, so choose a name that feels natural for your brand.

  2. In the Short company name field, enter a shortened version of your company name for the agent to use in conversation.

    • Using your full trading name in every sentence can sound repetitive, so a shorter version keeps the agent's speech natural.

    • This is limited to 12 characters and cannot include special characters.

  3. The Phone number field shows the agent's outbound number, which it uses to make calls.

    • This is set for you and can't be edited, so it appears greyed out.

  4. In the Surveyor title field, enter what to call the person carrying out the survey, for example "Gas Safe Engineer," "Boiler Surveyor," or "Heating Surveyor."

  5. Under Voice, you can click the play button to preview the voice before enabling the agent.

  6. Use the Disclose as AI agent checkbox to choose whether the agent tells customers it is an automated assistant at the start of each call.

  7. Click Continue.

Step 2: Conversation

This step controls how the agent pitches to customers and configures the survey options it can offer.

  1. Answer Are you an accredited installer?

    1. If Yes, select your Manufacture from the dropdown (a fixed list of UK manufacturers), then enter your Scheme name and Max warranty to offer in years. The agent uses this to highlight your accreditation and warranty during calls.

  2. Enter your Finance start rate if you want the agent to use it to handle price objections.

  3. Answer Do you send a video to the customer about what to expect as part of the installation?

    1. If Yes, the agent references this video in the booking confirmation email.

  4. Enter the On-site survey duration (mins).

  5. Answer Enable remote surveys for straightforward swaps?

    1. If Yes, select the remote survey type (Video or Telephone) and enter the Remote survey duration (mins). This controls whether the agent can offer a remote survey when a lead qualifies for one.

  6. Click Continue.

Step 3: Trigger

This step controls which opportunities trigger the agent, who gets assigned follow-up work, how pipeline stages update, when the agent is allowed to call, and how it handles unanswered calls. The agent calls the customer 5 minutes after the enquiry comes in.

  1. In the Opportunity template field, select the opportunity template(s) that should trigger the agent. The agent triggers 5 minutes after the lead lands in the pipeline for a selected template.

  2. Under Users to assign scheduled activity to, select the user(s) who should handle follow-ups the agent can't complete itself.

    • Two outcomes need a person to step in: Human callback requested (the customer asks to speak to a person) and Sensitive issue detected. When either happens, the agent creates a scheduled activity in Commusoft and assigns it to the user(s) you select here, so it lands with the right person to action.

  3. Answer Do you want to change the pipeline/stage when survey booked?

    1. If Yes, select the Pipeline, then the Stage the opportunity should move to.

  4. Answer Do you want to change the pipeline/stage when survey declined?

    1. If Yes, select the Pipeline, then the Stage the opportunity should move to.

  5. Under Which service windows would you like to offer for the automated call? check the boxes for the time slots you want to offer customers. The available windows are set up in your settings, so the options shown here will reflect your account's configuration.

  6. Under Agent Operating Mode, choose Scheduled Hours Only or All Web Enquiries (24/7). If you choose Scheduled Hours Only, set the hours your agent is authorized to call for each day of the week and for public holidays. Click Add time to add more than one window on a day.

  7. Under Retries, set the Minimum time delay between attempts (mins). This is the minimum gap before the agent tries an unanswered customer again.

  8. Click Continue.

Note: The Public holidays row relies on the public holiday templates in your settings. If no public holidays are set up for the current year, the agent won't know which dates to avoid. Read more about Public holiday templates.

Step 4: Notifications

This step controls how your team is alerted to specific call outcomes. Email alerts and in-app notifications are set up separately, so you can configure one or both.

Email notifications

  1. Under the Email notification section, select Yes, please notify me to receive email alerts.

  2. Click into the Receive notification when field and select the outcomes that should trigger an alert.

  3. Choose Who should get email notified? by selecting Users, Roles, or Everyone.

  4. Select an Email template from the dropdown, or click Add new template to create one.

In-app notifications

In-app notifications appear on the user dashboard.

  1. Under the Notification section, select Yes, please notify me to receive in-app alerts.

  2. Click into the Receive notification when field and select the outcomes that should trigger an alert.

  3. Choose Who should get notified? by selecting Users, Roles, or Everyone.

Once your settings are configured, click Activate to complete the setup and enable the agent.


What's next?
