Managing tabular reports

Learn how to organize your report folders, edit existing setups, and maintain your Analytics workspace.

After building your custom tabular reports, you need to know how to maintain them. This guide covers how to organize your reports using folders and how to update existing configurations. It also covers how to automate report delivery if you have the Analytics+ premium add on.


Edit a report

If your business needs change, you can adjust the columns, filters, and groupings of an existing report.

  1. In the left-hand panel, click the folder containing your report.

  2. Click the report name to open it.

  3. Click Edit in the top right corner.

  4. Use the report wizard to make your changes, then click Save.

Important: The primary data source cannot be changed once a report is created. If you need to report on a different data object, you must build a new report.


Download a report

Downloading a report extracts your raw data as a spreadsheet, allowing you to share it with stakeholders or perform further analysis outside of Commusoft.

  1. Open the report you want to download.

  2. Click Download at the top of the screen.

  3. The spreadsheet will save to your computer's default download folder.

Note: If your report contains more than 5,000 records, the system will process it in the background. You will receive a notification in your account when the file is ready to download.


Export a report

Exporting a report allows you to share its configuration with another Commusoft user. This generates a shareable ZIP file that they can import into their own account to instantly recreate your report structure.

  1. Open the report you want to export.

  2. Click Export at the top of the screen.

  3. The zip file will save to your computer's default download folder.

Note: Exporting a report does not extract your actual business data. It only copies the report's structural configuration, such as the selected columns, filters, and grouping rules.


Import a shared report

If a colleague has exported a report as a ZIP file, you can import it directly into your own account. This is the fastest way to standardize reporting across a team without having to rebuild the report from scratch.

  1. Hover over the folder where you want to save the report.

  2. Click the three dots icon and select Import.

  3. Select the ZIP file from your computer and click Open.

  4. Once uploaded, the report will appear in your folder as a draft.

  5. Click to Edit, review the configuration and activate it.


Delete a report

  1. Open the report you want to remove.

  2. Click Delete in the top right corner.

  3. Type "delete" into the confirmation box to confirm.

  4. Click Delete.

Important: Deleting a report permanently removes it from your account. This action cannot be undone.


Schedule automated delivery

Add on required: Analytics+

Scheduling removes the need to manually run and distribute reports. You can set your reports to automatically email themselves to specific team members on a regular rhythm.

  1. Open the report you want to automate.

  2. Click Schedule at the top of the screen.

  3. Select your recipients. You can add individual users or entire roles.

  4. Set the frequency to Daily, Weekly, or Monthly.

  5. Click Save.


Common questions

Can I adjust a report's filters without permanently editing it?

Yes. If you are the report owner, or if you have been granted view and edit access, you can make small adjustments to the filters directly from the report view (such as changing a date range). These temporary changes only apply to your view and will not affect the original report for anyone else.

What happens if the configuration of a scheduled report changes?

If you edit a report that is already on a schedule, the next automated email delivery will automatically reflect your updated configuration.

Who can edit or delete a report?

Your ability to edit or delete a report is tied to the permissions of the report. If you only have "Can view" access to a folder, the Edit and Delete buttons will be hidden from you. Speak to your system administrator to request edit access.
