Job record is in closed beta and available to a limited number of clients, so it may not appear for you yet.
The Timeline tab is the chronological heartbeat of the job. It automatically logs a wide range of activity on the job record, from status changes and customer emails to parts requests and file uploads. This gives your team a shared view of what has happened on the work and when.
Reading the timeline
The timeline displays a list of events grouped by date, with the most recent updates appearing at the top of the screen. Each entry clearly identifies what happened, the user (or automation rule) responsible, and the exact time the event occurred.
Because the timeline tracks a wide variety of actions, the layout of each card dynamically adapts to the type of event:
Communications: Emails, SMS messages, and logged calls display the sender, the recipient, and a preview snippet of the message or note.
Job records: Physical elements like appointments, files, or invoices display key summary details, such as the assigned technician, file names, or financial totals.
System updates: Automated actions, job stage changes, and pipeline movements display a straightforward, single-line summary of the update.
Expanding and interacting with events
Depending on the type of event, you can interact directly with the timeline card to uncover more details or manage the record without having to switch tabs:
Expand messages: For lengthy communications like customer emails or detailed internal notes, click the See more (or See details) link to expand the card and read the full text.
Manage records: For interactive elements like appointments, logged calls, or files, use the View, Edit, or Delete action links located on the far right side of the card to update the record instantly.
Note: To see customer replies in your job timeline, a Google or Office365 email inegration with import emails is required. Read more about importing emails.
Searching and filtering the timeline
Over the lifespan of a long job, the timeline can accumulate hundreds of entries. Instead of scrolling manually, you can use the powerful search and filter toolbar at the top of the tab to isolate exactly what you are looking for.
Using the search bar
If you are looking for a specific keyword—such as a part number, an invoice reference, or a specific phrase from a customer email—type it into the main Search bar at the top of the timeline to instantly pull up matching events.
Searching by Date and User
You can also quickly narrow down the timeline using the dedicated dropdown menus next to the search bar:
Created on date: Filter events to show only those that occurred Today, Yesterday, This Week, or within a Custom Date Range.
Users: Filter the timeline to only show actions performed by a specific team member.
Using advanced event filters
For more granular control, click the main Filter icon. This opens an extensive menu where you can toggle specific categories of events on or off:
Communications: Isolate customer-facing Emails, SMS messages, and internal Notes.
Scheduled activities: View upcoming or completed tasks and reminders.
Automation: Track actions triggered by your system's automatic rules.
Objects: Filter by physical job elements, such as Parts, Invoices, and Files.
Updates: View overarching status changes, including Job holds, Pipeline movements, and Stage updates.
Select the checkboxes for the specific items you want to see and click Apply to refresh your timeline view

No — the timeline does not currently log who reassigned or moved a diary appointment between technicians. Diary appointment movements are not available as a user-accessible audit trail.

No — the timeline does not log appointment deletions. Appointments are displayed in the timeline while they exist on the job. If an appointment is deleted, it is removed entirely and will no longer appear anywhere in the timeline.
