Set up and manage Letterhead settings

Letterhead settings let you add your company branding to customer PDF documents, such as invoices. You can control fonts, margins, and rules, or use full image headers and footers to create a professional look.

This setting does not apply to custom forms or proposals. These features use their own dedicated document templates for PDF generation.

How to access the Letterhead settings

➡️ Go to your Profile icon → Choose Settings → Locate System settings in the Categories menu → Click View next to Letterhead settings


Configuring the letterhead settings

Letterhead

In ‘Letterhead’, choose the options available. You can add an already created full letterhead image, or create a letterhead with a logo, or letterhead with text only. To upload a full image, choose ‘I have a full letterhead image’. From there, you can click upload and then select the image you’d like to proceed with.

  1. Choose from the three options

    1. I have a full letterhead image

      • Click to upload file: Full image

      • Recommended size for the header/footer image file is 100kb and no more than 150kb

    2. I want to create a letterhead with a logo

      • Click to upload file: Left hand side logo

      • The maximum dimensions for uploading a logo are a width of 340px (90mm) and height will be adjusted automatically.

    3. I want to create a letterhead with text only

      • Enter the Text to display in letterhead


Footer

Here, you can add text and images or a full footer image. You may add 3 images to your footer in the creation module.

Printer margins

You may choose the top, bottom, left, right, and address margin. You can set different measurement parameters here as well.

Body padding

It refers to the space or margin added around the content within the body of the letterhead. It allows for better visual presentation and spacing, ensuring that the text and other elements do not appear too close to the edges of the letterhead.

Other options

Finally, there are two options for branded paper. If using branded paper, there will be an empty space inserted at the top and bottom of the page based on the options selected. There is further helpful information within the setting module itself.

  1. I print on branded paper that has a header

    • Height of header on your branded paper (cm)

  2. I print on branded paper that has a footer

    • Height of footer on your branded paper (cm)


Add/Update a Full Image Letterhead/Footer

➡️ Navigate to Profile Icon > Settings > Branding > Letterhead Settings > View

  1. Check your Current Branding Setup

  2. Select Letterhead or Footer check the current setup

    1. "I have a full letterhead image"

    2. "I have a full footer image"

  3. If using another option (such as a logo or text-only), you can switch to a full image by selecting one of these options.

  4. Ensure your image meets the following specifications to avoid distortion

    1. 0cm Left & Right Margins: 2000 x 350px

    2. 1cm Left & Right Margins: 1800 x 350px

    3. File Format: Use .jpg/.jpeg or .png

    4. File Size: Recommended 100kb, maximum 150kb

  5. Creating a Header/Footer in Pixlr

    1. If you need to create a header or footer image, you can use Pixlr, a free online design tool or a tool like Canva.

      • Note: Pixlr is an independent platform, not affiliated with Commusoft.

  6. Once your image is ready: Click to upload file.

  7. View a PDF file such as an invoice to confirm you are happy with the settings as the preview may look different.

💭 Can I manage multiple business entities or companies within a single Commusoft account?

Commusoft is designed to manage a single business entity within one account. This means you can only configure one primary company logo, one set of company details (address, contact info), and one set of bank details for all financial transactions and documents generated through your Commusoft account.

💭 Why does my header or footer image look compressed in the Letterhead settings?

The Letterhead settings screen shows a preview only — it is not a live representation of your documents. Uploaded images, footers in particular, may appear compressed here even when they are set up correctly. To check how your letterhead or footer will actually appear, open a PDF document, such as a invoice.
