Understanding jobs on the mobile app

An overview of how jobs work on the Commusoft mobile app, with the statuses explained and links to articles for each stage of a visit.

The Commusoft mobile app is where field technicians pick up their work. Your appointments arrive in your diary, and each one moves through a set of statuses as you accept it, travel to it, arrive, do the work and leave. Every tap records a timestamp, so the office can see where you are without ringing you.


How a job moves on mobile

A job reaches your phone once the office has booked an appointment and assigned it to you. It appears in your diary, and on the home screen as your next event.

From there you work through it in order. You accept the appointment to confirm you can do it, set Travel when you leave for site, and Arrive when you get there. Arriving unlocks the job report, and the report has to be complete before you can leave. When you leave, Commusoft either asks whether the whole job is finished, or takes that decision from your job stages if your company uses them.

Every appointment has to reach an outcome before you can start the next one. If the work cannot go ahead, the outcome is a no access, an abort or a reject rather than a normal finish.


Job statuses

The buttons at the bottom of the job screen change as you move through the visit, so the next action is always the one in front of you.

Status

What it means

Accept

Confirms you can do the job. The office relies on this to know you have seen the appointment. Accept the night before or first thing.

Reject

Sends the appointment back to the office to reassign. Only available before you accept.

Travel

Records that you are on your way. If your company sends an on our way SMS, it goes out now, so set it when you actually leave.

Arrive

Marks you as on site and fixes the start time. Once an appointment is arrived it is locked and only the office can change it.

No access

You attended but could not get in. Appears once you are travelling. The appointment closes, the job stays open for rebooking.

Abort

You accepted the work and it can no longer go ahead. Available after Travel, after Arrive, or partway through the job.

Leave

Closes the appointment. Stays greyed out until the job report is complete and any mandatory on-site tasks are done.

Job statuses are separate from job stages. Statuses track your visit; stages track the job itself, and only appear if your company uses job pipelines.


Jobs that use stages

If a job's description is linked to a job pipeline, the job is finished by its stage rather than by you answering a question when you leave.

Where stages are in use, the stage list appears when you reject, abort or record a no access, and again when you leave, so you can record how far the work actually got. Only the stage your office has marked as job completed finishes the job. Pick any other stage and you have left site with the job still open, which is the most common reason a job looks unfinished to the office.

Note: A completing stage closes the job and triggers the final invoice where one is set up. After that, stages cannot be changed on mobile or on the web.

Common questions

Why can I not tap Leave?

Something on the job is outstanding. Leave stays greyed out until the job report is complete and any mandatory on-site tasks are done. Check the job report banner has turned green, and scroll the job screen for a task still showing as open.

Why can I not start my next job?

An earlier appointment has not reached an outcome. Every appointment must end as left, aborted, rejected, cancelled or no access before the next one can begin. The message names the job holding things up and gives you a button to open it.

Why can I only see a postcode and not the full address?

Your office has switched on Hide address details for you, which blurs the street address until you set Travel. It is set person by person, so a colleague seeing the full address does not mean yours is broken. If you are currently arrived on another job, you have to finish that one first before the next address will reveal.

What is the difference between a job status and a job stage?

A status tracks your visit: accepted, travelling, arrived, left. A stage tracks the job itself and only exists if your company uses job pipelines. A job can be left without being complete, which is why the two are separate.

I marked a stage but the job is still open.

The stage you chose is not the one that completes the job. Only the stage your office has marked as job completed finishes it. Any other stage records progress and leaves the job open.

Why does the app look different from a colleague's?

Three things decide what you see: your user role, whether your account is allowed the mobile app, and which features your company has switched on. A single missing button is usually your role. A whole missing section is usually a feature your company does not use.
