Follow a job from your diary to the front door, and record your time accurately as you go.
Every job in Commusoft moves through the same set of stages on your phone: you accept it, you travel to it, and you arrive. Each tap records a timestamp, so the office can see where you are without calling you, and your hours are captured without a separate timesheet.
The buttons at the bottom of the job screen change as you move through the stages, so the next action is always the one in front of you.
Before you start
Clock in from your home screen first. Tap Home, then Clock in on your timecard. You need a connection to clock in.
Accepting a job
âĄď¸ Tap Diary > your appointment
If your phone is set to US English, you'll see Schedule instead of Diary.
The job opens showing the job type, appointment notes, the appointment date and time, and Site information with the address, a map and the site contact.
Tap Accept.
The buttons change to Abort and Travel.
Note: Tapping Reject sends the job back to the office. Once you have accepted, Reject is replaced by Abort, which is used to stop a job you have already taken on.
Travelling to the job
Set Travel when you are actually in the vehicle and about to drive â not the night before, and not at the start of the day.
Tap Travel.
Your status changes to travelling and the office can see you are on your way.
The buttons change to Abort, No access and Arrive.
For directions, tap the address on the job and choose Google Maps or Waze. Your first choice becomes the default, and you can change it under your profile icon > Preferences > Map default view.
Note: If your company has an On our way SMS set up, it goes to the job address contact the moment you tap Travel. You do not need to message them separately â which is also why setting Travel early tells the customer something untrue.
Tip: You can also tap Travel straight from your Home screen. Your next appointment appears there as a card with a Travel button, so you do not have to open your diary first.
If you can only see a postcode
Your office can hide the street address of upcoming jobs until you set Travel. If that applies to you, the full address unlocks the moment you tap it â there is nothing to switch on and nothing to fix.
This is set for each user rather than for the whole company, so a colleague may see addresses when you do not. If it is getting in the way of planning your day, your office can change it for you.
If you tapped Travel without clocking in
If you are not clocked in when you tap Travel, Commusoft can show Confirm clock in, telling you that you have not clocked in yet, with a Clock in button.
Tap Clock in, then check the timecard counter on your Home screen has started before you carry on. If you are on a poor connection, it can take around 30 seconds for an error to appear â if that happens, move somewhere with better signal and try again.
Arriving at the job
Important: Set Arrive only when you are actually at the property. Once an appointment is marked as arrived it is locked â it cannot be edited or moved, and the start time is fixed. If you tap it too early, the office has to correct it for you.
Tap Arrive.
Depending on how your company is set up, you may be asked to confirm your arrival time in Set arrival time. Choose an option and tap Confirm. If you are not asked, you are marked as arrived straight away.
For what each arrival time option means and which to choose, read How to confirm your arrival time in the mobile app.
If your company has arrival questions set up, they appear now and have to be completed before you can carry on.
Once you have arrived, a blue banner appears at the top of the job: Fill in the job report.
If you cannot get in
Tap No access while you are travelling or on site to record that you could not get into the property. You are asked what you did to try to get access, and for a photo if you can take one.
Recording a no access closes the appointment, but the job itself stays open so the office can rebook it.
What happens next
Leave stays greyed out until the job report is complete. This is deliberate â the report is how the office knows what happened on site, so the job cannot be closed without it.
Tap Start on the blue banner to fill it in. Once it is saved, the banner turns green and Leave becomes available.
Common questions
Why can't I tap Leave?
Leave is greyed out until you have completed the job report. Tap Start on the blue Fill in the job report banner at the top of the job, fill in the questions, and tap Save. The banner turns green and Leave becomes available.
What is the difference between Reject and Abort?
Reject appears before you accept a job and sends it back to the office. Abort appears after you have accepted it and is used to stop a job you have already taken on. Both ask you for a reason.
I accepted a job and got a warning that templates have not synced.
The questions your company uses for this job â its arrival questions and job report â have not reached your phone yet. Close the app and reopen it somewhere with a stable connection so they can download. If you carry on without them, you are asked about it again when you tap Arrive.
It asked whether I want to use the default questions. What should I pick?
That question appears when you tap Arrive and your company's questions still have not synced. No takes you back to the job without changing its status, so you can reconnect and try again. Yes marks you as arrived and uses a default set of questions instead of your company's own. The same question can appear when you open the job report. If your office relies on its own questions, reconnect and choose No.
Do I have to clock in before every job?
No. You clock in once for the day, from your timecard on the Home screen.
I tapped Travel and it asked me to clock in. Did that work?
Check the timecard on your Home screen before you carry on. If the counter has not started, tap Clock in there. On a poor connection it can take around 30 seconds for an error to show.
Can I change the arrival time if I forgot to tap Arrive?
Only if your company allows arrival time changes. If it does, Set arrival time includes Edit time. Read How to confirm your arrival time in the mobile app.
Can I undo a no access?
Not from the app. The job stays open, so contact your office and they can rebook it.
Why can I only see the postcode of my next job?
Your office has set your user to hide the address until you set Travel. Tap Travel when you are ready to leave and the full address appears. It is set for each user, so a colleague seeing the full address does not mean yours is broken.
I marked myself as arrived by mistake. Can I undo it?
Not from the app. Once an appointment is marked as arrived it is locked and the start time is fixed. Contact your office and they can correct it.
Does the customer know I am on my way?
If your company has an On our way SMS set up, it sends automatically to the job address contact when you tap Travel. That is another reason to set Travel when you actually leave rather than earlier.
