Understanding parts and stock on the mobile app

How a part reaches you, what each status means, and which article covers each step.

Having the right part with you is the difference between finishing a job and booking a return visit. Commusoft tracks parts from the moment you ask for one to the moment you fit it, so your van count, the job and the office all say the same thing.


How a part reaches you

Every part on a job comes from one of three places, and which one it is decides what you have to do next.

Your van. Parts you are already carrying show highlighted in amber when you request them. Allocate one to the job and there is nothing to collect — you go straight to fitting it.

Another stock location. The main stockroom, a second site, or another technician's van. You request it, fulfil it against the location holding it, then collect it.

A supplier. If nowhere holds enough, Commusoft raises a purchase order for the shortfall. The part arrives at the office, at the supplier's counter, or at the job itself, depending on the delivery method on the order.


What each status means

A part's status tells you whose move it is.

Status

What it means

Requested

Asked for but not yet sourced. It is waiting to be fulfilled from stock or ordered.

On order

On a purchase order that has gone to the supplier. Commusoft is waiting on delivery.

Available

Allocated to the job and with you — either from your own van, or collected. Ready to fit.

Picked up

Collected against a picking list. The part is physically with you.

Installed

Fitted and recorded against the job. This is the end of the line.

Returned

Not needed, and sent back to the stock location or supplier it came from.


What your company decides

Three settings change what parts look like on your phone, and none of them can be changed from the app.

The stock module. If it is off, there is no Parts option on the job menu at all.

A stock location on your user. Without one you have no van for Commusoft to show you, and My Van tells you that you do not have a valid stock location assigned. Being named after you is not the same as being assigned to you.

The part collection workflow. With the picklist on you collect by scanning a QR code. With it off you confirm the collection by hand, and there is no Scan for parts option.

Common questions

When does the pickup parts list appear on mobile?

Only when there are parts scheduled for pickup within the next seven days. If nothing is due in that window, the list is not displayed.

Will the list show parts scheduled for tomorrow?

Yes. Any part linked to an event in the next seven days brings the list up — today, tomorrow, or later in the week.

Why can I not see the pickup parts list?

Usually because nothing is due for collection in the next seven days. The other causes are the parts not being linked to an appointment, the appointment falling outside the seven-day window, or the parts already being marked as collected.

Why can I not see My Van?

Either your company does not have the stock module active, or your user has no stock location associated with it. Both are office settings. Ask them to open the stock location and check your user is associated with it.

Do I have to be on site to request a part?

No, and you do not have to accept the job either. You can request parts as soon as the appointment is in your diary, which gives you time to collect them before you set off.

A part is in my van but I cannot use it on this job.

It is already allocated to another job. The lock icon next to a part shows how much of your van stock is reserved; the van icon shows the total you are carrying.
