Everything you need for the visit is on the record before you knock – and the app calls it an opportunity, not a survey.
If your office books survey visits, they land in your diary alongside your jobs. The visit is attached to an opportunity – the sales record the office is building a proposal from – and that is the word the app uses on screen.
A survey visit can only be booked from a computer. It is added to an opportunity from the office and assigned to you. You cannot create one from the app, and there is no way to add a survey visit to your own diary.
Finding the visit
➡️ Tap Diary > the appointment
If your phone is set to US English, you'll see Schedule instead of Diary.
In the diary list it looks like any other appointment – the name of the work, the customer, the address and the time slot. Nothing marks it out as a survey.
Tap it and the record opens, headed Opportunity # and the number.
Note: If the office books the visit while you are out, it appears on its own. You do not need to sync or restart the app.
What is on the record
The screen is a briefing, not a form to fill in. Scrolling down it, you get:
Proposal – the value of the proposal so far, and what it is for
Site information – the address, a map, and the site contact with email and call buttons
Customer contact – the contact for this opportunity
Customer information – the customer's own contact details
Opportunity details – the sales person who owns it, the opportunity template, and the pipeline it sits in
Tip: The site contact and the customer are not always the same person. Both are on the record, each with their own call and email buttons, so check which one you are meant to be ringing before you set off.
Digging into the history
➡️ Tap the grid icon, top right
The More menu opens six places to look:
Menu item | What is in it |
Communications | Every email and call logged against the opportunity, newest first – including what the office has already sent the customer |
Contacts | The people on the record |
Files | Anything attached, and where you attach your own |
Assets | Equipment recorded at the property |
Property history | What has happened at this address before. What you see depends on your user role – the Engineer role only sees jobs assigned to it. |
Technical references | Meter locations, stopcock, and the rest |
Tip: Read Communications before you knock. Whatever the office has already promised the customer is in there, and it saves you contradicting it on the doorstep.
Adding photos and files
➡️ More menu > Files > +
Six options open:
Take photo
Record video
Scan document
Record audio
Choose from files
Choose from gallery
Whatever you add is attached to the opportunity, so the office can see it when they build the proposal.
Important: Photographs are the survey. The app gives you no form, no checklist and no measurements screen – so if a detail is not photographed, scanned or logged as a communication, it does not reach the office from this record.
Recording what you found
There is no survey form on the opportunity record. To get your findings back to the office, use what the record does have:
Files for photographs, videos, scanned documents and voice notes
Communications for written detail – tap + to add one
Tip: A voice note under Record audio is often faster than typing on a doorstep, and the office can play it back while they price the work.
Accept and Reject
Two buttons sit fixed at the bottom of the record: Reject and Accept. Check with your office before using either.
Common questions
Can I book a survey visit myself?
No. Survey visits are booked from a computer, against an opportunity, and assigned to you. There is nothing in the app that creates one.
Do I need to sync before the office can see my photos?
No. Files attach to the opportunity as you add them.
Where is the survey form?
There is not one on the opportunity record. Photographs, scans, voice notes and communications are what the record holds.
Why does it say "Opportunity" and not "Survey"?
Because the visit is attached to an opportunity – the sales record the office builds the proposal from. It is the same visit, under the name the system gives it.
Which stage is the opportunity at?
The record does not show it. It shows the pipeline the opportunity sits in, under Opportunity details, but not the current stage – and you cannot move it on from the app.
Why is the visit not in my diary?
Check with the office that it has been booked and assigned to you – a visit that is booked and assigned shows up on its own, without a sync.
