Why a colleague can do something on their phone that you cannot, and the three different reasons a feature might be missing from yours.
Two technicians at the same company can open the same app and see different things. That is normal, and it is not a fault with your phone or your app.
Three separate things decide what you get. Knowing which one is in play tells you who to ask.
The three reasons something is missing
Your role and permissions. Every user is given a role, and the role decides what you are allowed to do, such as whether you can create a job, raise an invoice or see other people's diaries.
Your platform access. Separately from your role, your account is set to allow the web app, the mobile app, both, or neither. Someone can have every permission going and still be blocked from signing in on a phone.
What your company has switched on. Some things are not about you at all. Timecards, stock control, Fleet and custom forms are all switched on or off for the whole company, so if a whole section is missing it may simply not be in use where you work.
If you are missing one button, it is usually your role. If a whole tab or section has never been there, it is usually the third one.
What each role can do
Roles build on each other. Each one can do everything the one before it can, plus more.
Engineer
The base role for field technicians. You can see your own diary and work through the appointments assigned to you â completing forms, taking site photos, adding the parts you used, and capturing signatures.
You cannot invoice a job or take a payment, and you can't see the cost or sale price of parts.
Property history only shows the jobs that were assigned to you.
You can send a purchase order to the supplier with Email PO, but you can't edit its email or download it.
Engineer with diary
Everything above, plus control of your own schedule. You can add and edit your own appointments, search the customer database, create new jobs, and book visits. This is the role for anyone who needs to book a follow-up before leaving site.
You can see the cost price of parts, but not the sale price.
As with Engineer, you can send a purchase order with Email PO, but you can't edit its email or download it.
Engineer with invoicing
Everything above, plus money. You can raise invoices for your own jobs and take payment on site â for anyone expected to get paid before they leave.
You can see the cost price, sale price and profit on parts.
You can also edit a purchase order's email and download the order.
Senior engineer
Everything above, plus the team. You can manage appointments for the whole team, not just your own, and reassign a job to someone else. If you are covering dispatch from a van, this is the one.
Office roles
Office staff, Financial office staff and Owner/Manager are office roles rather than field ones, but they can still be given mobile access â useful if someone who normally works at a desk occasionally attends site.
Office roles have full access to purchase orders, and Financial office staff can invoice from the app.
Note: There are separate Sales+ roles for opportunities and proposals. Read the article User roles and permissions for the full list of roles.
Seeing and changing other people's diaries
Seeing other people's diaries depends on your role. From Senior engineer upwards you can view everyone's diaries. On Engineer and Engineer with diary, you see only your own.
The first time you sign in, Commusoft may ask whether you want to enable viewing other people's diaries on your phone. This appears only if your role lets you see other people's diaries. Answering Yes turns it on for this device.
Most technicians never see this prompt. If you did not get it and you think you should have, ask your office to check your role. It is not a setting on your phone.
Changing diary events depends on your role. From Engineer with diary upwards you can add and edit your own appointments. From Senior engineer upwards you can manage appointments for the whole team. Once you have travelled to an appointment, it can no longer be edited.
Common questions
Why can my colleague create a job on their phone when I cannot?
They are on a higher role. Creating jobs starts at Engineer with diary; the base Engineer role can only work through appointments already assigned to them.
Why can I not raise an invoice or take a payment?
Those need Engineer with invoicing or above. The Engineer and Engineer with diary roles cannot do either, by design.
Why can I not see part prices?
Which part prices you can see depends on your role. Engineer sees neither the cost nor the sale price, Engineer with diary sees the cost price only, and Engineer with invoicing sees the cost price, sale price and profit. Changing a part, including its sale price, also needs permission to update parts on jobs. Ask your office if you need it.
Why can I not download a purchase order?
Downloading a purchase order, or editing its email, needs Engineer with invoicing or above. On Engineer and Engineer with diary you can still send it to the supplier with Email PO.
Why does property history only show some jobs?
Property history is limited by your role. On the Engineer role, you only see the jobs at that property that were assigned to you.
Why can I not see anyone else's diary?
Seeing other people's diaries starts at Senior engineer. Below that, you see only your own. Ask your office to check your role.
Why can I not edit a colleague's appointment?
Editing other people's appointments starts at Senior engineer. Engineer with diary can add and edit only your own appointments.
I have the right role, but I cannot sign in on my phone at all.
Your platform access is probably set to web only. It is a separate setting from your role, so having the right role is not enough on its own â ask your office to check it.
A whole section is missing, not just a button.
That usually means the feature is not switched on for your company rather than being hidden from you. Timecards, stock and Fleet all work that way. Ask your office whether it is in use.
Who changes my role?
Your office â specifically an Owner/Manager. It cannot be changed from the app.
