Understanding stock control

What stock control is, why it is worth using, and where to find every stock control article.

Stock control tracks every part your business holds and where it is, from the stockroom shelf to each technician's van. Because every delivery, collection, fitted part and return is recorded, the office, the stockroom and your technicians all see the same count. That means fewer parts ordered that you already have, more first-time fixes because the right part is on the van, and stock figures you can trust in your accounts.

How stock control works

Stock is held in stock locations. A location can be a stockroom, a second site or a technician's van. Parts move between locations as they're delivered, collected for jobs, fitted or returned, and each move is recorded against the part and the location. Reorder lists watch the levels you set and replace stock when it runs low, so you don't have to count shelves to know what to buy.

Before you start

  • Suppliers/Vendors: every purchase order, reorder and return goes to a supplier.

  • Set up and manage parts: stock is held against parts, so a part must be in your parts list before you can stock it.

  • Stock locations: each technician who carries stock needs a location assigned to their user.

Common questions

How do I turn on stock control?

Stock control is turned on by Support. It's off by default and needs mandatory training, so contact Support and they'll put you in touch with Client Success to arrange the training before it's switched on.

Which plans include stock control?

Stock control is included on Customer Journey and Automation in the UK, and on Customer Journey and Field Automation in the US. It isn't available on Go Paperless, All-in-one or Legacy plans.

Is stock control the same as my parts list?

Stock control is not the same as your parts list. Your parts list holds every part you buy, fit and sell, with its cost and price. Stock control tracks how many of each part you hold and where. See Understanding Parts.
