Add a diary entry that isn't a job, keep it up to date, and accept, complete, cancel or delete it from your phone.
A normal event is a diary entry that isn't a job or an opportunity, such as a team meeting or a training session. You can add one from your diary, update it as plans change, and record what happened, all without contacting the office.
If your phone is set to US English, you'll see Schedule instead of Diary.
Adding a normal event
âĄď¸ Tap Diary > + > Add normal event
Tap the + button at the bottom right of your diary and tap Add normal event.
Enter a Description. You can't save the event without one.
Check the date. It starts on the day you were viewing in your diary.
Choose the timing: an exact start and end time, or a slot (all day, morning or afternoon) if the exact time doesn't matter.
Add any notes for the technician, if needed.
Tap Save.
The event appears in the diary on the date you chose.
When you add an event, you can also set it to repeat and choose to notify the technician. These options are only available when adding an event, not when editing one.
Note: From the Senior engineer role upwards, you can also choose who the event is for. Otherwise, it's added to your own diary.
Viewing an event
Tap the event in your diary to open it. You'll see the date, time, description, who it's for and any notes.
Once an event has been completed, rejected, aborted or cancelled, a banner at the top shows its status, when it changed and who changed it.
Updating the status of an event
The buttons at the bottom of the event change as you work through it.
New event: Tap Accept to confirm it, or Reject if it can't go ahead.
Accepted event: Tap Complete when it's done, or Abort if it has to stop part way.
Rejecting or aborting asks you for a reason, which the office can see on the event.
Note: Once an event is completed, rejected, aborted or cancelled, it's locked and can no longer be edited.
Editing an event
Open the event and tap Edit.
Make your changes.
Tap Save.
Editing an event depends on your role. From Engineer with diary upwards you can edit your own events, and from Senior engineer upwards you can manage events for the whole team. If you don't see Edit, either the event is locked or your role doesn't allow it.
Cancelling or deleting an event
Both options are on the edit screen. Cancelling keeps the event in the diary with a reason, so there's a record of it. Deleting removes it completely, and whether you can delete depends on your role.
Cancelling an event
Open the event and tap Edit.
Tap Cancel event.
Enter a reason. You can't cancel without one.
Tap Cancel event to confirm.
Deleting an event
Open the event and tap Edit.
Tap Delete event.
Tap Delete to confirm.
Common questions
Why can't I edit my event?
You can't edit an event once it's been completed, rejected, aborted or cancelled, because it's locked. If the event is still open and you can't see Edit, your role doesn't allow it. Ask your office to check your role.
Why can't I delete an event?
Whether you can delete an event depends on your role. If you can't delete it, you can still cancel it with a reason, or ask your office to check your role.
What's the difference between cancelling and deleting an event?
Cancelling an event keeps it in the diary, marked as cancelled with your reason. Deleting it removes it from the diary completely. Cancel if the office may need to see that the event was planned.
Can I add a normal event for someone else?
You can add a normal event for someone else from the Senior engineer role upwards. Ask your office to check your role.
