Understanding Custom forms

An overview of custom forms in Commusoft: what they are, where they're used, how they differ from certificates, and links to every related article.

Available on: Go Paperless, Customer Journey and Automation (UK); All-in-one, Customer Journey and Field Automation (US). Not included on legacy plans.

Custom forms let you design your own forms and certificates, from gas safety records and commissioning checklists to risk assessments and service sheets. Technicians complete them on site in the mobile app, and each finished form becomes a professional PDF saved against the job.

Because you build the fields and the layout yourself, every form matches the way your business works and the standards your industry expects. That means accurate, consistent records, less paperwork back at the office, and compliance documents you can update whenever the rules change.

One form builder, several features

Custom forms are built with the Commusoft form builder. The same builder is used in other features too, so the field types you learn for one apply to all of them.

  • Jobs: job report workflows, job arrive workflows, and custom forms.

  • Sales: arrive workflows and survey templates.

  • Fleet: vehicle checks.

A custom form itself can also be used in more than one place. Technicians can add it from Forms on an appointment in the mobile app, or you can make it a required form task in a job report workflow, so it has to be completed before the technician leaves site.

What makes up a custom form

Each custom form has two parts that work together:

  • The mobile form: the pages and fields the technician fills in on site, built in the form builder.

  • The Word document: the layout of the finished PDF, designed in Microsoft Word with your own branding, logo, and business details.

You don't have to start from a blank page. The Marketplace offers ready-made templates, including gas, electrical, oil, and heat pump forms, with both parts already built. Once added, a Marketplace form is yours to adapt and keep up to date, as Commusoft doesn't maintain these templates for regulation changes.

Categories and folders keep your forms organized, so technicians can find the right one quickly in the app.

Custom forms and certificates

Custom forms replaced the pre-built certificates that Commusoft used to provide. Some longer-standing accounts still have certificates, so it helps to know which is which.

Common questions

Which plans include custom forms?

Custom forms are included on the Go Paperless, Customer Journey and Automation plans in the UK, and the All-in-one, Customer Journey and Field Automation plans in the US. They aren't included on legacy plans.

What is the difference between a custom form and a certificate?

The difference between a custom form and a certificate is who builds and maintains it. Custom forms are built and managed by your team and can be edited from the web app once completed. Certificates are legacy documents Commusoft used to provide, are locked once submitted, and aren't available to clients who joined after October 2023.

Do I have to build every custom form from scratch?

No, you don't have to build every custom form from scratch. The Marketplace has ready-made templates, such as gas safety records and commissioning checklists, with the mobile form and Word document already built. Once added, you're responsible for adapting and updating them, as Commusoft doesn't maintain Marketplace templates.

Can I edit a custom form after it has been completed?

Yes, a completed custom form can be edited, but only from the web app, on the job's Certificates tab. In the mobile app, completed forms are locked, so a technician clones the form to create an editable copy instead.

Can I add my own branding to custom forms?

Yes, you can add your own branding to custom forms. The PDF layout comes from the form's Word document, so your logo, colors, and business details are added there. See Create and manage custom forms for more.
