Job dashboard
Updated over a month ago

The new job dashboard improves job management by offering a unified view of all job-related details in a single location. Unlike the previous reporting screen, where job statuses were shown in a widget requiring users to open each job individually for more details, this dashboard provides direct access to detailed job information without needing to open each job separately. This update enhances user accessibility and streamlines job management.

Pre-requisites:

View settings

➡️ Home dashboard > Jobs

All job views are listed under the job dashboard once configured. You can select the required job view to see the list of jobs associated with it.

This page has four sections for the list of job views, the jobs available for a specific job view, timeline for a particular job, and the additional information.

List of job views:

  • The views shown to each user depend on the 'Share with' setting (step 2) in the Job view settings.

  • The display order of job views on the dashboard will follow the sequence set in the Job views settings. Also, the job views are displayed along with the icon we choose and the number of jobs available for that job view.

Available jobs:

  • You can also search for jobs by Job number, customer name, work address name, Job description, job address 1, 2,3 job town/county, job postcode, job reference and @ assigned to. For the ‘Assigned to’ field, we can enter multiple users.

  • If there is a thin blue-colored line on the left side of the job card, it means that someone else is also viewing the same job. You can check them in the fourth section of the job dashboard by hovering over the respective icon placed under ‘Someone else viewing this job’.

  • Using the ‘Sort’ icon, you can sort the results in ascending or descending order.

  • When applying filters based on the job description or status, the list of jobs matching the selected filters will be displayed, regardless of other fields in the job card. In this case, newly created jobs that satisfy the filter criteria will appear at the top of the list.

  • A job can be assigned to multiple users and you can view the assigned users.

  • This section will show the list of available jobs for the selected job view.

The jobs are displayed based on the job card design (Step 3 in job views creation).

Timeline:

  • In this section, you can find all the communications related to jobs, Diary events, Attached files, Stages & Pipeline changes, Certificates, Opportunities, Invoices, and Payments.

  • You can add filters and search by date (activity entry date), users, communications (call, SMS, email, notes, print) and scheduled activities. The results will be displayed according to the selected filters and conditions.

  • Click the ‘Add record’ button placed at the top, to send a new email, or SMS, create notes, log a call activity, create a diary event, create an invoice or schedule activities and attach files corresponding to a specific job.

  • For the diary events, there will be a single entry with the latest update.

  • Each log is updated with its activity date and time, the user who performed the activity, and its updated status.

Side bar/Additional information:

  • This section provides the complete information about a particular job, including the customer’s basic and contact details, job information and other additional information related to the job.

  • In the Job details section, you have the option to assign the job to a user, or assign it to yourself.

  • You can also find the ‘Edit’ option for editing the job details. By clicking on that, you will be landing on the page where you can edit the job.

  • You can also find the direct notification about the diary event’s SLA status, if it is already set up.

  • Under the Job details section > Stage, you can also view the current stage and you can move the job to other stages if required.
