Job dashboard

A clear guide to using the Job Dashboard to manage jobs, views, stages, filters, and timelines—customised by plan type.

The Job Dashboard provides a clear and structured overview of all job-related details in one place, allowing for quick access to job statuses, assignments, and updates. This feature enhances efficiency by reducing the need to navigate between multiple screens, making job management more streamlined and accessible.


Timeline type of View

The Job Dashboard gives you a structured view of all job-related details in one place. It helps streamline job tracking, communication, and updates and has four key sections.


Job Views

Job Views let you categorise jobs based on their current stage. These are listed in the first section on the left side of the Job Dashboard.

Five default views come with your account:

  • Without diary events

  • In progress

  • Needs attention

  • On hold

  • Completed

Go Paperless Plan

If you're on the Go Paperless plan:

  • Additional views are automatically created when a new Job Stage is added.

  • No extra setup is required—your stages become views.

Customer Journey Plan +

Job Views on the Customer Journey plan are more advanced and fully customisable. You’ll find a dedicated Job Views setting in your system settings menu, where you can:

  • Create views using custom filters

  • Define which jobs should be included

  • Share views with selected roles or teams

  • Customise the Job Card Design for jobs shown in the Job List section

You can also link a Pipeline by assigning it to a Job Description and using either the pipeline name or job description filter in Job Views. Once linked, jobs using that description will display the pipeline’s job stages. You can also edit any job and assign a Pipeline manually.


Job List

The Job List (second section) displays the jobs included in the selected view. Each job appears as a card containing important job information.

You can:

  • Click a job card to open its details in the Timeline and Job Overview sections

  • Sort jobs by job number, date created, job status, or description

  • Filter jobs using the "Add filter" button at the top right

  • Search using the job name, address, or job description bar

If another user is currently viewing a job, you’ll see a small icon on the card so you're aware.

Card customisation

Go Paperless Plan

Go Paperless users will see a default card layout that cannot be changed. The default fields include:

  • Stage name

  • Job number

  • Job description

  • Customer name

  • Job address (line 1)

Customer Journey Plan +

Customer Journey users have full control over card design.

Within the Job Views setting, you’ll find a Card Design area where you can:

  • Choose which fields appear on the job card

  • Rearrange field order

  • Show or hide labels

The default fields (same as Go Paperless) populate initially, and you can customise or add additional fields as needed.


Timeline

The Timeline (third section) gives you a chronological view of all activity on the selected job. This includes:

  • Diary events

  • Attached files

  • Job stage changes

  • Invoices, parts, and payments

  • Certificates

  • Opportunities

Use the Add Record button to manually log new updates such as:

  • Emails or SMS

  • Notes and calls

  • Diary entries or follow-ups

  • Creating or updating invoices

You can apply filters to the timeline, these filters remain active when switching between jobs. They are based on:

  • Date of activity

  • Type of communication (e.g. SMS, email, note)

  • User

When filtering the jobs by date, a week runs from Monday to Sunday.


Job Overview

The fourth section on the right-hand side is the Job Overview. This panel displays all job-related details, including:

  • Location Map: If the job address can be geolocated, a map appears at the top of the panel for easy visual reference.

  • Customer Details: Includes the account name, address, and contact phone number.

  • Who’s Currently Viewing This Job: Icons show which users are viewing the job in real-time.

  • Job Details:

    • Click the Edit button to make changes to Job details

    • Stage name

    • Team assignment: Customer Journey +

    • Take this job: Customer Journey +

    • Job number: Clickable to open Job overview

    • Job Description

    • SLA status: Customer Journey +

    • Quoted amount: Jobs converted from a Proposal

    • Service reminders

    • Skills

    • Contract details: Customer Journey +

    • Asset information

  • Contact Details:

    • Shown if a separate job contact is added to the Job.

    • Contact Name

    • Contact Email

    • Contact Phone number

  • Other Details:

    • User group

    • Created by: includes date and user name


Kanban type of view

This type of job view is available only in the Customer Journey +

  • This type of job view includes a field to display or change the associated pipeline. The pipeline can be updated here or in the pipeline setup at any time. Jobs are displayed on the job dashboard based on the pipelines added to the job view.

  • You can sort the list of jobs associated with the job view in the Job Dashboard. If you sort the jobs by date, the new job will appear in the correct position, while all others will be listed at the top.

  • In the Kanban view, You can't see who is currently viewing the job.

  • The job will be placed above another job when you drag and drop it within the same stage.


💭 Wondering when a job can be completed? The job is marked as completed when the final invoice is generated, marked as Free of charge, Aborted or manually Marked as completed.
