Job description templates

Job description templates speed up job creation by providing pre-configured structures for key job components. By configuring job report workflows, pricing items, and labour rates, you can save time and effort setting up each job individually. Available on the 'Go Paperless' plan and above.


View Setting

➡️ Navigate to your Profile icon > Settings > Jobs > Job description templates > View


Add a new Job description template

➡️ Click "Add job description"

  1. Complete the side panel

    • Job description: This name serves as an identifier used throughout the system.

    • Time to complete: Select the expected job duration from the dropdown.

    • Online portal price: If offering this job via the website booking portal, enter the price to display to customers.

    • Appear in customer login portal: Check this box if you want the job description template visible in the customer portal.

    • Appear in website integration: Check this box if you want the job description template visible in the website booking portal.

    • Colour on diary: Choose a colour for the job description template to be displayed on the diary.

  2. Click Save

To display a job description correctly in the website booking portal, ensure all related fields are completed.​


Configuring a Job Description Template

➡️ Click "Configure" next to the saved template

These are the details entered when adding a new job to a customer. The job description template applies this information to the fields, saving time while allowing manual adjustments.

Job template

  1. Default job values

    1. Job notes: Add internal notes to assist staff in managing the job and taking customer information.

    2. Skills: The system assigns engineers based on their assigned skills.

    3. Quoted amount: Enter the internal quote amount for the job.

    4. Service reminders (1/2/3): Link up to three service reminders. If a service reminder already exists for this customer, it will be used.

    5. Invoice category: Select the Business Unit for invoices raised on these jobs for reporting purposes.

    6. Priority: Set the urgency of the job.

    7. Schedule appointment: Check this box to add a diary event after saving the job details.

Mobile experience

  1. Arrive workflows

    1. Arrive question: Search the template name in the drop down and add all required.

    2. Default: You can only have one default so edit Yes/No as appropriate.

    3. Delete: Remove a template from the table.

    4. Click Save

  2. Job report workflows

    1. Job question: Search the template name in the drop down and add all required.

    2. Default: You can only have one default so edit Yes/No as appropriate.

    3. Delete: Remove a template from the table.

    4. Click Save.

If no workflows are configured for a job description or they fail to sync due to lack of signal the system defaults to the basic signature/question settings we therefore recommend you have these set up as a failsafe.

Invoicing

  1. Pricing items

    1. Pricing item: Search the pricing item name in the drop down and add all required.

    2. Number of minutes included: Set the minutes included

    3. Does the time carry forward: Check the box if required

    4. Actions: Delete a line if no longer required

    5. Click Save

  2. Labour rates

    1. Select your labour rate from the dropdown

    2. Click Save.

  3. Automatically invoice

    1. Click "Add invoice rule"

    2. Complete the side panel

      1. Customer type: Select the customer type from the dropdown. To assign more than one type, add multiple automatic invoice rules.

      2. Rule: Select from the dropdown box.

        • Pre-final invoice:

        • Automatic on completion of job

      3. Set invoice as draft: Tick this box if the invoice should be raised as a draft.

      4. Description: Type the invoice description assigned to the job description template.

      5. Invoice breakdown: Select the type of breakdown required from the dropdown box.

      6. Business unit: Assign the Business Unit if required.

      7. User group: Select the user group from the dropdown.

      8. Email: Choose if you want the invoice to be sent automatically.

      9. Default nominal code: Assign a default nominal code, which will apply to all line items.

    3. Repeat as required

      1. Multiple automatic invoice rules can be added.

    4. Save.

Automatic invoice rules override the default values.

Portals

If using the website booking portal, you can configure how many days ahead the system considers for route optimization and appointment availability.

  1. Booking portal

    1. How many days after the current date do you want to show appointments for

      • Enter the required number of days.

    2. Engineers to be used for scheduling:

      1. All engineers with given skills

        • The skills are listed in the Default job values

        • If more than one skill is selected in the default values, only engineers with all skills will be shown.

      2. Select engineers

        • Ensure required engineers are added from the drop-down.

    3. Click Save.

These settings apply only to the website booking portal. They are not used for bookings via Suggested appointments, Service reminder portal, or Work address booking portal.


Managing Job Description Templates

Clone a Job Description Template

➡️ Click Clone > Type "Clone" > Clone

Edit a Job Description Template

➡️ Click Edit > Amend > Save

Delete a Job Description Template

➡️ Click Delete > Type "delete" > Delete

Archive a Job Description Template

➡️ Click Delete > Type "archive" > Archive.

If a workflow is archived after a diary event is created, mobile users will still see and need to answer the questions for that event. The questions will only be archived for future events.
