1. Diary Layout

The diary provides a visual representation of scheduled events, jobs, and estimates for engineers. It includes multiple viewing options to accommodate different scheduling needs.

View Options

  • Daily View: Displays a single day’s schedule.

  • Weekly View: Shows the entire week.

  • Two-Week View: Displays a fortnight.

  • Monthly View: Offers a month-long overview.

Key Components

  • Calendar: Displays the current month, allowing navigation between dates.

  • Event Entries: Each event appears as a colored block, indicating the type, time, and assigned engineer.

  • Time Slots: The diary is divided into time segments for clear scheduling.

  • User View: Allows filtering to display events for specific engineers or user groups.


2. Navigation

  • Changing Dates: Use calendar navigation or arrow buttons.

  • Scrolling: Scroll vertically to view different time slots and horizontally for multi-day views.

  • Zooming: Adjust the zoom to display more or fewer events.


3. Managing Events

Event Types

  • Normal: General events or reminders.

  • Estimate: Scheduled estimate visits.

  • Job: Booked jobs for properties.

  • Opportunity: Sales opportunities (Only available with the Sales CRM product).

Creating Events

  1. Navigate to the Diary tab.

  2. Select a date and time slot.

  3. Choose the event type.

  4. Fill in event details, including customer, engineer, and notes.

  5. Save the event.

Viewing & Editing Events

  • Click an event to open its details.

  • Click Edit in the side panel to modify the event.

  • Drag and drop events to reschedule them.


4. Special Features

Landscape Diary View

  • Engineers appear in rows instead of columns for a more compact display.

Nearby Events

  • Allows scheduling jobs close to existing appointments, reducing travel time.

  • Engineers already near the destination can be assigned, cutting down on travel costs.

The Diary Side Panel

The right-hand sidebar provides quick access to various diary functions:

  • Filters: Customize which users or user groups appear.

  • Job Sheets: Print job sheets and summary reports.

  • Customization Options: Adjust the diary layout and color schemes.


5. Additional Features

  • Map View: Displays event locations on a map for better planning.

  • Color Customization: Adjust the diary's color scheme to differentiate users or job types.

  • Exporting & Printing: Print job sheets, download diary data, and generate summary reports.


What Do Different Status Icons Mean?

  • Accepted (Green Check) – The engineer has confirmed attendance.

  • Rejected (Red X) – The engineer declined the event.

  • Traveling (Blue Arrow) – The engineer is on the way.

  • Arrived (Green House) – The engineer has arrived.

  • No Access (Yellow Blocked) – Unable to access the site.

  • Left (Green Check-out) – The job is completed, and the engineer has left.


Diary FAQs

Why Can’t I Drag and Drop an Event?

  • The event may be locked due to job status.

  • The engineer may already be traveling or arrived at the job.

  • Admin restrictions may apply.

What’s the Difference Between Cancelling & Deleting an Event?

  • Cancelling: Keeps the job record but removes the event from the diary.

  • Deleting: Completely removes the job from the system.

How Do I Add a User to the Diary?

  • Go to Settings > Users > View > Edit Business Details.

  • Enable Appear in the Diary and click Save.

How Do I Change a User’s Color in the Diary?

  • Go to Settings > Users.

  • Select the user and modify their assigned color.

Can I recover a deleted job?

No, unfortunately, once a job has been deleted from within Commusoft, there is no way to recover it. You can create another job to replace it but the original cannot be brought back again. For this reason, we recommend cancelling jobs unless raised in error - this helps maintain an accurate history for the customer/property.
