Connect emails

Choose how emails are sent through Commusoft by configuring options such as Commusoft’s no-reply email, Commusoft mail servers, or your own mail servers (SMTP, Google Apps, or Office 365). This setup determines the routing of outgoing emails to support your system’s communication needs.

Emails may fail to send due to your email provider's limitations, such as file size restrictions. For example, Gmail's limit is 25MB total attachment size. Check your provider's limits to avoid issues.

Yahoo and BT Internet email addresses are not supported.

Import email settings have been moved into this setting. Please check the steps for your provider in the Your mail server section below.


View setting

➡️ Navigate to your Profile icon > Click Settings > In Communications; Click View on Connect Emails


Set up email

There are multiple ways to send emails through your Commusoft account, either using your own email servers, your own email providers or using the ones provided by Commusoft.

No-reply email

Using the Commusoft email provider SendGrid, you can use a no-reply email address for all emails sent from within Commusoft. This email address is not customisable and cannot display a personalised domain. You must set a name to appear on the received email and a reply-to email address.

This option ensures a consistent email sender for outgoing communications without requiring additional email server configuration.

➡️ Select [email protected] > Type Name to appear on email > Type Reply-to email adress > Click Save


Commusoft mail servers

Maintain your domain branding for outgoing emails while leveraging Commusoft's infrastructure for email delivery.

This option requires assistance from third-party IT staff to set up your domain DNS and cannot be done by the Commusoft staff.

➡️ Select Your domain, but using Commusoft’s mail servers > Type Domain > Click Save domain

Once the domain name is saved, the DNS records will be generated and displayed on the screen. This can be shared with your IT person to continue setup.

➡️ Click Send to IT support person > Type Email address > Click Save

These DNS records will need to be configured externally from Commusoft. Once complete, you will need to verify.

➡️ Click Verify domain DNS

Once successfully verified, the record will display a tick on the left-hand column. You will now be able to add email addresses to use in Commusoft.

➡️ Click Add new email address > Type Email address


Your mail server

Use your own email provider through SMTP, or connect with direct authentication to Gmail or Office 365.

Add new SMTP email

  1. Email and server details

    • Email address: Enter the email address you want to connect.

    • Name on email: Enter the name you want to be displayed on the email received.

    • Username: If your email provider requires a username, it must be entered here.

    • Password: Enter the password for the email account.

    • Outgoing mail server: Enter the email server details; responsible for sending the emails.

    • Port number: Select the port used by your email provider.

    • Security: Select the type of security used by your email provider.

Add new Office 365 email

  1. Receiving email: You can import emails received to the email address used, these will be stored against the customer's communication timeline.

  2. Sending email: Click Connect to 365; you will be redirected to the Office365 sign page.

    • Sign in with your Office 365 account details to authenticate the connection.

    • Once sign in is complete, the page will reload to Commusoft.

  3. Click Save

Add new Google email

  1. Receiving email: Click Connect to Google; you will be redirected to the Google sign page.

    • Enter your Google account details to authenticate the connection (see below for authentication steps).

    • Once sign in is complete, the page will reload to Commusoft.

  2. Receiving email: You can import emails received to the email address used, these will be stored against the customer's communication timeline.

  3. Click Save

    1. If you do not want to import emails, click Save once you have connected to receive emails.

  • Step 1 - Select the account to connect to Commusoft.

    • Review documentation through the links provided by Google to ensure you understand their terms and policies.

  • Step 2 - Review the information and click Continue.

  • Step 3 - Review the information and click Allow, you will be redirected back to Commusoft.

  • Step 1 - Select the account to connect to Commusoft.

    • Review documentation through the links provided by Google to ensure you understand their terms and policies.

  • Step 2 - Review the information and click Continue.

  • Step 3

    • Review the information and check the box Send emails on your behalf.

      • For more information on this, click Learn more.

    • Click Continue, you will be redirected back to Commusoft.

Commusoft is unable to guarantee emails will show in your email provider's sent folder when connected using SMTP.

The information required for SMTP set up is provided by your email provider, please contact them directly for assistance.

Commusoft imports emails to a customer's communication timeline if the email address matches a stored contact. Before connecting to Office365 or Gmail, ensure the email address isn't linked to any customer.

The email address displayed in the Google or Microsoft login pages may be stored on the computer, this is not controlled by Commusoft. You may need to log out of that account on the machine before trying to connect your email.
If you are unable to log in to a different email account, please contact your IT team or provider for further assistance.
