Learn how to complete custom forms in the Commusoft mobile app

Custom forms enable efficient and accurate data collection during jobs, allowing field staff to gather and submit critical information directly while on site.


View forms

➡️ Navigate to the appointment > Menu > Certificates/Forms


Add new form

➡️ Tap + > Select form from the list

  1. Review the customer details > Tap next

    • The first page of a custom form will always display the customer and work address (if applicable) details by default.

  2. Complete the pages and fields > Save

    • The form is complete when saved.

    • Completed forms cannot be edited.

  3. To save the form in draft, tap back to navigate through the pages until you see the message Save draft and close.


Form statuses

The status indicates the form progress/sync state:

  • Draft: Partially completed forms saved for later editing.

    • Drafts will not be synced to the web until submitted as complete.

  • Waiting to sync: Completed form is queued for syncing to the server.

    • The app will attempt to sync automatically when a stable WiFi/data connection is available.

    • Tapping the form will perform checks and attempt to sync.

    • If this status displays for 24hrs or more, contact the Client Services team for help.

  • Completed: Successfully submitted forms that are synced to the server and locked for editing in the app.

    • These are accessible on the web and will have a visible certificate number.

    • These are now available to print or email to the customer.

  • Failed to Sync: Forms that couldn’t sync due to connectivity or server issues.

    • Tap to retry syncing when a signal is available.

    • If this status is displayed for 24hrs or more, contact the Client Services team for help.

Use search and filters to quickly find specific forms.


Managing forms

Draft forms

Tap a draft form to open the menu, which includes the following options:

  • Edit: Tap a draft form to open it for further editing.

  • Delete: Remove a form completely from the job.

    • Only users with Financial Office Staff permissions or higher can delete draft forms.

    • Deletion is irreversible.

Completed forms

Tap a completed form to open the menu, which includes the following options:

  • Clone: Create a copy of the form with the existing data in draft mode for further editing.

  • Print: Generate and download a PDF version of the completed form for printing.

    • The form must have already synced to the server to enable the print option.

    • Commusoft does not send the document directly to a printer. The PDF will need to be opened in a viewer or application with printing capabilities.

  • Email: Send the form directly to the customer via email with the document attached as a PDF.

    • The form must have already synced to the server to be sent via email.

    • The email’s subject line and body are auto-generated using a default template configured for the mobile app.


Troubleshooting

If you encounter an issue with a custom form in the mobile app, refer to the list of common problems below for guidance on resolving them quickly and effectively.

A form is not showing in the Add New Form list

If you’re unable to see a specific form in the Add New Form list on the mobile app, follow these steps to resolve the issue:

  1. Pull to refresh

    • Swipe down on the screen to refresh and fetch the latest list of forms from the web.

  2. Check form status on the web

    • Ensure the form is active on the web, draft forms are not available for use in the mobile app.

  3. Avoid repeated refreshing

    • Do not repeatedly pull to refresh, this will queue multiple attempts to sync data. Allow a moment for the app to complete the process.

If the issue persists after following these steps, consider checking your internet connection or contacting support for further assistance.

Do not delete the app

Data is stored locally on the device until it has synced with the server. Uninstalling the app before syncing may result in the loss of data. Only uninstall the app if advised by a Commusoft staff member.

Information to provide

When contacting support, include the following details to help us address your issue quickly and efficiently:

  • Job number

  • Username of the user who created the form or certificate

  • Certificate number (if applicable)

  • Information on the troubleshooting steps already completed

Our Client Services team may request that you repeat a troubleshooting step while working with them. This ensures we can complete all necessary support procedures and resolve your issue effectively.
