How do I resend a record?

Sometimes, when a record (customer, supplier, invoice, payment, credit note, etc.) fails to send to your accounting package, you will need to resend it from the failed accounting imports log.

Navigate to your Profile icon > Integrations

  1. Select Accounting packages

  2. Click View dashboard

  3. Navigate to Failed/Successful > View

  4. Click on the tab corresponding to the record/s you want to resend.

  5. Locate the record to be reprocessed

  6. Click + and click re-send records

Marking a record as Do not send

Navigate to your Profile icon > Integrations

  1. Select Accounting packages

  2. Click View dashboard

  3. Navigate to Waiting to be sent > View

  4. Click on the tab corresponding to the record/s you you need to mark as Do no send.

  5. Select the record

  6. Click Mark as do not send in the top right.

Invalid VAT Rate

If the VAT rate is invalid:

  1. Find the invoice in Commusoft using the search bar.

  2. Open the invoice and click Edit in the breakdown section.

  3. Adjust the VAT rate (%) columns.

  4. Save your changes.

Trial Version of Your Accounting Package

If you encounter an error stating you’ve reached the limit of invoices you can send because you’re using a trial version of your accounting package:

  1. Upgrade to a paid version of the accounting package.

  2. Once upgraded, your invoices will transfer as expected.

Invoice/Payment Already Exists in the Accounting Package

If the Invoice/payment exists correctly in the accounting package:

  1. Navigate to Profile icon > Integrations

  2. Accounting Dashboard > Failed

  3. Go to the relevant tab.

  4. Select the failed record and click Mark as do not send.


If the Invoice/payment doesn’t exist correctly in the accounting package:

  1. Navigate to Profile icon > Integrations

  2. Accounting Dashboard > Failed

  3. Go to the relevant tab.

  4. Select the failed record and click Re-send records.

Invoice/Credit Note Number Already in Use

If the invoice/credit note exists correctly in the accounting package:

  1. Navigate to Profile icon > Integrations

  2. Accounting Dashboard > Failed

  3. Go to the relevant tab.

  4. Select the failed record and click Mark as do not send.

    • Marking this as "do not send" breaks the link, requiring manual entry of future payments or credit notes for this record.

Xero

Handling Xero's API Limit

Xero has an API limit of 5,000 records per day. To ensure smooth processing, Commusoft automatically pauses data transfers when this limit is reached. This prevents Xero from encountering any errors caused by exceeding the daily allowance.

After 24 hours, the system will automatically resume sending records, and this process will repeat as many times as needed until all your records have been successfully imported.

You’ll also receive a notification when the limit is reached, keeping you informed about the pause and when the process will resume.

Invoice Date Set Before Lock Date

If an invoice fails to send because its date is before the lock date in Xero:

  1. Go to Xero.

  2. Navigate to Financial Settings.

  3. Update the lock date to accommodate the invoice date.

Sage50 Cloud Accounts

Sage 50cloud Accounts error: Username in use

"Commusoft is unable to send data across to Sage 50cloud Accounts because the username is already in use".

This error message means that Sage was open when the data was being sent. If this happens, please close Sage. Once you have done this and reopened it, you will need to resend the records.

Where do my records post to in Sage?

Commusoft posts only to the Transaction log within Sage 50cloud Accounts.
