Public holiday templates

Set up public holiday templates, configure holiday dates, assign to users, and automatically block out diary schedules for time off.

Updated over a month ago

Public holiday templates allow you to block out dates for national or regional holidays, helping you manage time off and prevent scheduling conflicts. Simply create a template, add the relevant holiday dates, and assign it to a user. A normal event is then automatically added to the user's diary for each date, ensuring they are not scheduled for work.

How to set up a new public holiday template

Creating a new public holiday template is a two-step process. First, you'll create the template container for a specific year, and then you will add the individual holiday dates to it.

Step 1: Add the new template

  1. From the 'Add public holiday name' section, enter a descriptive Name for the template.

  2. Select the appropriate year from the Year dropdown menu.

    • This restricts date selection to the chosen year when you configure the dates.

  3. Click Add public holiday name.

Step 2: Configure the holiday dates

  1. Find your new template in the 'Existing public holiday groups' table on the right.

  2. Click Configure next to the template name.

  3. On the next page, use the date picker under 'Add public holiday date' to select a holiday date.

  4. Click Add public holiday date. The date will appear in the table on the right.

  5. Repeat steps 3 and 4 for all holidays you need to add to the template.

How to edit a public holiday template

You can edit a template's name or the dates it contains at any time.

How to edit the template name

  1. Find the template you wish to edit in the 'Existing public holiday groups' table.

  2. Click Edit in the row for that template.

  3. In the pop-up window, enter the new name.

  4. Click Save.

How to edit the date configuration

  1. Find the template in the 'Existing public holiday groups' table.

  2. Click Configure next to the template name.

  3. To remove a date, click the 'Just added' button (which may change to a delete icon) next to the date in the 'Existing public holiday dates' table.

  4. To add a new date, use the date picker on the left.

  • You cannot edit a date once it has been added. If you make a mistake, you must delete the individual date and add the correct one.

  • If the template was already assigned to a user, deleting a single date will not remove the event from their diary. The event must be deleted manually from each user's schedule.

How to delete a public holiday template

You can delete the entire template if it was created in error or is no longer needed.

  1. Find the template in the 'Existing public holiday groups' table.

  2. Click Delete.

  3. A confirmation prompt will appear. Type 'delete' and click Confirm.

Deleting the entire template will also remove all associated holiday events from the diaries/schedules of any users it was assigned to.

How to assign a public holiday template to a user

Once you have created your template, you need to assign it to the relevant user profiles. Assigning a template to a user will automatically add the normal events to the configured dates in their diary/schedule.

➡️ Go to your Profile icon → Choose Settings → Locate Users in the Categories menu → Click View next to Users.

  1. Find the relevant user in the list and click View.

  2. From the user's profile, locate the Business details section and click Edit business details.

  3. Scroll down to the 'Public holiday groups' field.

  4. Select the required template from the dropdown menu.

  5. Click Save.

    • Once saved, the system will begin creating the events on the dates provided.

Example use cases

💡 Annual Bank Holidays (UK)

Create a new template each year, named "Bank Holidays 2025," and add all relevant dates. You can then assign this template to all your UK-based staff to block out their diaries automatically for the year.

💡 Region-Specific Holidays

If you have teams in different countries or regions with different holidays (e.g., England and Scotland), create separate templates for each. For example, create "Scottish Bank Holidays 2025" and assign it only to your Scotland-based engineers.

💡 Federal and State Holidays (US)

If your business operates in multiple states, create separate templates for federal and state-specific holidays. For example, create a "Federal Holidays 2025" template for all US employees, and a "Massachusetts Holidays 2025" template for staff in that state to account for Patriots' Day, ensuring schedule accuracy across different locations.
