A well-written job report email, sent along with the job report PDF, ensures transparency and professionalism. It provides a detailed job report, reinforcing trust and offering a clear record for the customer. Additionally, you can set the report to send automatically under certain conditions to add automation and reduce manual job admin.


View Setting

➡️ Profile icon > Settings > Jobs > Job report email template > View


Set up default email for your job report

This setting has three options, you need to select the one that works for your business.

  1. Don’t automatically send the job report

    1. Select to disable the setting > Save

  2. Automatically send the job report when the job is marked as complete

    1. Compose email subject

    2. Compose email body

    3. Click Save

  3. Automatically send the job report when the diary event is marked as left

    1. Select further diary event actions as required

      1. An engineer rejects the diary event

      2. An engineer aborts the diary event

      3. An engineer marks the event as no access

    2. Compose email subject

    3. Compose email body

    4. Click Save

Use tagging in the subject and body to include job-specific information and provide a detailed email for your customers. You can also personalise the email by including tags such as the customer’s name, job details, and date/time.


How are Jobs marked as Complete or Left

A Job is marked as complete via actions on the web or mobile app:

  • Mobile app

    • The engineer clicks "Leave site"

      • Clicks "Yes" to "Is this job completed?"

      • Clicks "Free of charge job"

      • Clicks "Raise final invoice"

      • Clicks "Do nothing"

  • Web

    • A user actions "Raise final invoice"

      • This automatically marks a job as complete.

    • A user adds a "Final invoice" via the Invoice tab on the Job record

      • This automatically marks a job as complete.

    • A user actions "Free of charge" via Quicklinks on the Job record

    • A user actions "Abort job" via Quicklinks on the Job record

A Job is marked as Left via actions on the mobile app:

  • The engineer clicks "Leave site" on the appointment.

  • The engineer clicks "Reject" on the appointment.

  • The engineer clicks "Abort" on the appointment.

  • The engineer clicks "No access" on the appointment.

If the appointment is in the past when Reject, Abort or No access is actioned the Job report email will not trigger.


Useful Information

Once the selected condition has been met, the job report will begin to generate and then be emailed to the customer. The generation time may vary, especially if the report includes images, as it can take longer for the data to sync between mobile, web, and the job report PDF.

When the email is sent, it will be logged in the communication timeline. If there is no record in the communication timeline, and the customer has not received the email after 24 hours of the condition being met, please reach out to us.
