Keeping your schedule organised across multiple tools can be challenging. With Commusoft’s Outlook calendar integration, you can effortlessly sync your appointments to ensure accuracy, save time, and streamline your workflow.

This integration helps you manage your schedule efficiently, avoiding manual updates and double bookings.


How to Integrate Outlook Calendar

Integrating Outlook calendar with Commusoft allows automatic event syncing, keeping your bookings and schedules up to date without manual intervention.


Step 1: Enable Outlook Calendar in Settings

🔍 This step establishes the connection between Commusoft and Outlook. It's essential for successful integration.

  1. Profile icon > Integrations

  2. Click Productivity

  3. Choose Outlook calendar

  4. Select Add integration

  5. Click the Enable option and press Continue.

You can integrate either Outlook or Google calendar, but not both simultaneously.


Step 2: Connect Your Outlook Calendar

🔍 This step connects your Outlook account, allowing Commusoft to sync your calendar events. Each user can follow these steps once the integration is enabled to connect a calendar.

  1. Refresh the page

  2. Click your Profile icon

  3. Choose the Outlook calendar icon

  4. Sign in to your Outlook account

  5. Grant Commusoft permissions for calendar access

Each Commusoft user can only connect to one Outlook calendar account.


Step 3: Create and Sync Events

🔍 Once connected, your jobs and events created in Commusoft instantly appear in your Outlook calendar.

  • Schedule appointments directly in Commusoft.

  • Events sync automatically with Outlook, including dates, times, locations, and notes.

The integration does not support recurring events; only the first occurrence will sync.


Step 4: View Synced Events

🔍 Here's what you need to know about viewing events:

  • Outlook events created by Commusoft appear as normal appointments.

  • Events created in Outlook calendar directly will appear as simple events in Commusoft; you cannot convert these into jobs or estimates.

  • Events created before integration setup won't sync.

  • Normal event location does not transfer to Outlook calendar.


Step 5: Disconnect an Account

🔍 If you no longer need calendar syncing or want to switch accounts, here’s how to disconnect safely.

  1. To disconnect, go to your profile icon > Calendar Settings.

  2. Click Disconnect to remove the sync.


Step 6: Remove the Integration

To disable the Outlook calendar integration completely:

  1. Click your Profile icon > Integrations

  2. Choose Outlook calendar

  3. Click Disconnect to stop calendar syncing.


Step 7: Manage the Integration

  1. Click your Profile icon > Integrations

  2. Choose Outlook calendar

  3. Click Manage integration

  4. A list of all connected and disconnected Outlook accounts will be listed for review.

    1. Use the search function to locate an account in a long list.


What Happens Next

  • Events created in Commusoft will be visible in your Outlook calendar.

  • Manage your day efficiently without switching apps frequently.

  • Minimise scheduling conflicts or missed appointments.
