The integration with Pipedrive allows you to sync customer and contact data between both systems. Depending on your setup, this enables marketing segmentation, smoother lead handovers, and better visibility across sales and service teams.

This connection links your CRM activity to your operational data, helping reduce duplicate entries and improve the overall customer journey.

Setting Up Your Integration

Follow the steps below to prepare and connect your Commusoft and Pipedrive accounts. This setup ensures your data is mapped and synced accurately.

Step 1: Create Custom Fields in Pipedrive

Setting up custom fields ensures Commusoft data lands in the right place. Without these fields, key details like job numbers or contact roles won’t sync correctly.

Create fields in Pipedrive to capture data like Contact Name, Job Number, Description, and Customer Address. These are required for accurate mapping Custom fields in Pipedrive only appear on the initial add screen—not when editing. You must create your required custom fields before integration.

  1. Pipedrive > Settings > Data fields > Person/Organization > Add custom field

  2. Create custom fields under Person, Organisation, and Deal as needed

  3. Ensure your field labels match or correspond clearly to the Commusoft schema

We recommend setting the following Custom data fields up in Pipedrive as a minimum for Person and Organization. If these fields are not created and mapped the data may not import in to the correct field in Commusoft.

  1. Address Line 1

  2. Address Line 2

  3. Town

  4. County

  5. Postcode

Custom Fields will only be imported on the initial setup, so it is best to add them even if you don't plan to use them straight away.

Separate Address fields are required on the Add Person/Organization form in Pipedrive for the mapping, otherwise, Address in Pipedrive will import into Address Line 1 only in Commusoft.


Step 2: Connect Commusoft and Pipedrive

This connection forms the bridge between your sales activity and operational data. Choosing the right sync direction helps avoid accidental overwrites or gaps.

This step activates the data sync between both platforms.

  1. Go to you Profile icon and choose Integrations

  2. Select CRM and locate Pipedrive

  3. Click Add integration

  4. Paste your API key from Pipedrive and hit Connect

  5. Select your preferred sync direction and permission level

  6. Select the connection setting:

    • Sync data from Pipedrive to Commusoft Only

    • Sync data from Commusoft to Pipedrive only

    • Sync Two way > Continue

  7. Select what data you want to sync

    • Write Access

    • Update Access

    • Delete Access

  8. Click Continue

Ensure your Pipedrive API key has full access and is linked to the correct workspace.


Step 3: Map Customer Fields

Mapping ensures your customer records are correctly transferred from Commusoft into Pipedrive’s Organisation section. Choose which Commusoft fields should populate the Organisation data in Pipedrive.

  1. Add Person in Pipedrive imports as a Private Customer in Commusoft.

  2. For the Name and Surname to correctly populate in Commusoft you need to add the mapping per the lines 1-4 shown in the screenshot.

  3. For the Address to correctly populate in Commusoft you need to map the custom fields you added previously. Lines 5- 10 shown in the screenshot.

Step 4: Map Company Fields

This step links your Commusoft company-level data to the appropriate fields in Pipedrive, helping sales reps see context when reviewing deals. Select all required values marked as * in the dropdown under the Commusoft field and the preferred option in the Pipedrive field. Choose which Commusoft fields correspond to the Company-level data in Pipedrive.

  • Add Organization in Pipedrive imports as a Company in Commusoft.

  • Address Line 1 in Commusoft must be mapped to Address in Pipedrive.

  • Add Organization form Address field needs be manually completed as Address Line 1 in Commusoft and not selected from the drop down if you want it to map into the Custom Fields.

  • For the Address to correctly populate in Commusoft you need to map the custom fields you added previously. Lines 2- 6 shown in the screenshot.

Step 5: Map Contact Fields

This ensures key contact information—like email and phone number—is synced cleanly so you’re always working with accurate details. Match individual Commusoft contact fields (like name, email, phone) to your Pipedrive contact structure.

  • For the Name and Surname to correctly populate in Commusoft you need to add the mapping per the lines 1-4 shown in the screenshot.

  • Add other fields as you require them.

  • Add Person and link an existing Organization in Pipedrive imports as a Contact to the Company in Commusoft.

  • Add new Organization from the Add Person form is not supported, the Organization must be added first via the Add Organization form.

Managing the Integration

After setup, you can manage settings from:

  • Profile icon > Integrations > CRM > Pipedrive > Manage integration

Adjust connection rules, field mappings, and permissions at any time.


Disconnecting the Integration

To remove the sync:

  1. Profile icon > Integrations > CRM > Pipedrive

  2. Click Disconnect

This will stop data flow immediately and prevent customer syncs.


Frequently Asked Questions

💭 Can I integrate both HubSpot and Pipedrive at once?
No. You can only connect one CRM at a time. Disconnect one before enabling another.

💭 What happens if a field is missing in my Pipedrive setup?
That field will not map correctly, and data may be dropped. Always review field mappings.

💭 Does data sync both ways?
Yes. You can choose one-way or two-way sync, with options to allow or restrict updates.

💭 Are duplicate contacts created?
No. If a match is found, Commusoft updates the existing Pipedrive record instead.

💭 Why isn't my contact syncing to Pipedrive?
Contacts created in Commusoft will only sync if they are assigned to an organisation. Standalone contacts will not push through.

💭 Can I integrate more than one CRM at once?
No. You can only integrate one CRM with Commusoft at a time — either Pipedrive or HubSpot. If you want to switch, you'll need to disconnect the existing CRM first.

💭 Will Commusoft create duplicates in Pipedrive?
No. If a contact or organisation already exists in Pipedrive, Commusoft will update the existing record rather than create a duplicate.
